Corvo Properties is seeking a highly organized and proactive Administrative Assistant/Assistant Property Manager to support our team with a wide range of office, operational, and property management functions. This role is vital to ensuring the smooth day-to-day operation of the office while directly supporting property management, leasing coordination, and maintenance scheduling.
The ideal candidate will be detail-oriented, responsive, and capable of juggling multiple responsibilities in a fast-paced environment. This is a great opportunity for someone who enjoys both administrative work and hands-on involvement in real estate operations.
Core Responsibilities
Office & Administrative Support
- Answer and screen all incoming calls; prioritize and return voicemails promptly (including from the previous night)
- Open and distribute daily mail, stamp, and date as needed
- Maintain office cleanliness and organization (including taking out trash, vacuuming, and supply closet upkeep)
- Manage office supply inventory and research cost-effective vendor options
- Maintain printer functionality and order supplies as needed
- Scan and file invoices digitally
- Resolve general complaints, such as car wash service issues
Clerical Tasks & Documentation
- Write and distribute internal and external correspondence (emails, memos, letters, faxes, etc.)
- Organize and schedule meetings, appointments, and vendor visits
- Track and request up-to-date subcontractor documents (W-9s, Certificates of Insurance, etc.)
- Assist with preparation for audits, evictions, contracts, and permits
- Support senior management and respond to team-wide administrative needs
Maintenance Coordination
- Open and close work orders in Buildium, documenting all updates
- Coordinate and monitor the daily schedule of the maintenance crew, including tenant repair requests
- Conduct midday and end-of-day task check-ins with the team and assist in closing out open tasks
- Maintain follow-up procedures for unresolved work orders or delayed appointments
Leasing & Turnovers
Leasing Support
- Assist with preparing lease agreements, sending for signature, and tracking signed documentation
- Respond to leasing inquiries and schedule showings
- Upload and manage unit listings on platforms like and Zillow
- Process rental applications and coordinate credit/background checks
- Create and send move-in welcome packets, ensuring distribution of keys, fobs, and important information
Turnover Management
- Oversee unit turnover process: schedule maintenance, cleaning, punch-list work, and ensure timely readiness
- Coordinate move-out inspections with tenants and the maintenance team
- Track completion of turnover punch lists and report weekly progress
- Prepare and send security deposit summaries and related documentation
- Maintain turnover tracking spreadsheet to monitor timelines and team accountability
Resident Relations & Renewals
Lease Renewal Management
- Track upcoming lease renewals and initiate outreach 60–90 days prior to lease end
- Assist with rent increase requests, including communication with housing authorities
- Support BDPA unit recertifications and annual income certifications
Property Performance & Compliance
- Maintain accurate, organized lease files and unit documentation
- Help track and manage rent concessions, promotional campaigns, and market comparables
- Support management in compiling reports on leasing performance, maintenance activity, and vacancy timelines
Qualifications
- Previous experience in property management, real estate, or administrative support preferred
- Familiarity with Buildium or similar property management software is a plus
- Excellent verbal and written communication skills
- Ability to multitask, prioritize, and remain highly organized under pressure
- Strong follow-through and attention to detail
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
