At Meadow Wood Animal Hospital, we're more than a veterinary clinic, we're a trusted part of the Lawton community. We're looking for a Veterinary Receptionist who brings warmth, accuracy, and calm under pressure to our front desk team.
This is a high-energy, client-facing role in a busy, full-service animal hospital. Our ideal candidate thrives in a fast-paced setting, loves animals and people, and is ready to take initiative in helping our patients and their families feel supported and seen.
What our Receptionists Do:
You'll be the first point of contact for clients - on the phone, at the front desk, and when they pick up or drop off their pets. Your daily tasks include:
Client Care & Communication
- Greet every client with a positive, professional attitude
- Manage phone calls, voicemails, and emails promptly and with empathy
- Comfort clients who are anxious or upset (both human and pet)
- Communicate clearly between clients and the medical team
Administrative Duties
- Schedule appointments and boarding
- Maintain accurate patient and client records in our software (Avimark experience is a plus, but not required)
- Check clients in/out and manage financial transactions (cash, card, CareCredit, etc.)
- Ensure all charges and medical notes are entered accurately
Operational Support
- Restock front desk supplies, organize the reception area, and assist with filing
- Prepare prescription refills and give basic medication instructions
- Collect samples and ensure they're labeled accurately for the tech team
- Support end-of-day duties like balancing the drawer, printing reports, and preparing for the next day
Who We're Looking For:
- Customer service experience (at least 1 year) is required
- Ability to pass a drug test, background check, & reference check is required.
- Comfortable with computers, multitasking, and fast-paced environments
- Excellent communication and active listening skills
- Emotionally resilient & able to navigate tough conversations with grace
- Detail-oriented and comfortable with handling financial transactions
- A true team player & willing to jump in and help wherever needed
The Realities of the Role:
We want to be upfront; this is not a sit-down desk job.
- Our lobby can be noisy, busy, and full of excited (or nervous) pets.
- You'll be on your feet throughout the day, moving between the desk, pharmacy, lobby, and treatment areas.
- You'll interact with a wide range of clients: military families, multi-pet households, first-time pet parents, and owners going through tough goodbyes.
- Some days are calm and steady. Others are wall-to-wall from open to close. Our team is great at having each other's backs.
Schedule:
- Full-time
- Typical start time: 6:45 AM
- Typical end time: 6:00 PM
- Rotating weekends are required
- Closed major holidays
