About the Role
We are a small and growing B2B packaging and supply company based in Jacksonville, Florida. Because of our size, team members support multiple areas of the business and work closely with ownership.
We are seeking a reliable and organized Administrative Assistant – Sales & Warehouse Support who is comfortable wearing multiple hats and coordinating daily activities across the office, sales, and warehouse.
At this time, the warehouse team consists of one warehouse employee, so this role involves light oversight and coordination, not managing a large staff.
Responsibilities Administrative Duties
- Prepare invoices, quotes, and sales orders
- Enter and maintain customer and order data
- Organize and manage documents (invoices, BOLs, shipping records)
- Assist with basic Excel and QuickBooks tasks
- Manage email communication and follow up on open items
Sales Support / Inside Sales
- Follow up with existing customers regarding reorders
- Respond to inbound customer inquiries
- Assist with outbound calls and emails to business customers
- Track leads, quotes, and follow-ups
- Support long-term B2B customer relationships
Warehouse Oversight & Coordination
- Coordinate daily warehouse tasks and priorities
- Provide direction and support to a warehouse employee
- Ensure orders are prepared accurately and on time
- Communicate between office and warehouse regarding shipments, inventory, and issues
- Report operational or inventory issues to ownership
- Help maintain organization and basic operational processes
(This role does not require heavy physical labor but does involve regular interaction with warehouse operations.)
Qualifications
- Strong organizational and communication skills
- Comfortable communicating with customers, drivers, and warehouse staff
- Basic computer skills (Excel, email; QuickBooks experience is a plus)
- Ability to manage multiple responsibilities and shifting priorities
- Prior experience in administration, sales support, or warehouse coordination preferred
