Overview
We are seeking a detail-oriented and experienced Project Coordinator / Project Engineer and/or Assistant Project Manager to assist and support the oversight and coordination in various construction projects from inception to completion. The ideal candidate will possess strong leadership skills, a solid understanding of construction processes, and the ability to administrate multiple tasks efficiently. The position works under direct supervision, performs routine daily activities and gathers and distributes information. This role must be a flexible and adaptable team-player, as well as have strong communication and client service skills. Candidate must be familiar with specifications, processing RFI's, submittals, and other project related documentation. This position should have knowledge in project scheduling and construction management software, ensuring that projects are completed on time, within scope, and in accordance with specifications.
Responsibilities
- Assist in managing and maintaining all contract documents including but not limited to RFIs, Submittals, Allowances/Contingencies, Change Orders and maintaining logs
- Reviewing and verifying accuracy and completeness of all project documents
- Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored
- Assist the project manager in monitoring the progress, reviewing project schedule updating, invoice processing, and project closeout
- Understand project construction documents and schedules while identifying potential problems and conflicts
- Keep teams informed on cost, quality and time impacts.
- Perform regular site visits to identify and report on product deficiencies and deviations from plans and/or specifications (approved submittals)
- Record work progress on daily reports
- If required, participate in project design meetings and propose improvements if necessary
- Participate and assist with construction progress meetings and drafting meeting minutes
- Any other duties assigned by the project manager or team
- Evaluate potential problems and technical hitches and develop solutions
- Plan and manage team goals, project schedules and new information
- Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails
- Communicate with clients to identify and define project requirements, scope and objectives
- Adhere to budget by monitoring expenses and implementing cost-saving measures
Qualifications and Skills
- 3+ year experience in the construction industry
- Good communication and interpersonal skills capable of maintaining strong relationships
- Strong organizational and multi-tasking skills
- Ability to effectively prioritize
- Excellent analytical and problem-solving abilities
- Team-management and leadership skills
- Documentation management and ability to use project management software; Procore, Bluebeam Revu and familiarity with P6 CPM Scheduling is an advantage
- Attention to details even under pressure
- Time management skills with the ability to meet deadlines
- Familiarity with reading plans and understanding technical specifications
- Familiarity with Division of the State Architect (DSA)
- Experience in public sector projects is preferred
- Knowledge of construction site operations and safety regulations is essential; familiarity and knowledge of Cal-OSHA safety regulations
Education and Certifications
- A degree in Construction Management, Business or a related field is preferred but not mandatory
- CMIT Certificate is preferred
- Procore Certification is a plus
- Computer literate with knowledge of the current technology used in the position
