Location: Madison, WI
Purpose
Run the day-to-day housing / property management operations for AHWI under the direction of the Director of Housing.Make sure homes (Adult Family Homes and conventional rentals) are well-run, residents are treated with clarity and respect, and established systems are followed consistently as the portfolio grows.
1. Tenant / Resident Management
Leasing & Onboarding
Manage the tenant lifecycle in your portfolio: inquiries, showings, applications, leasing, move-ins, renewals, and move-outs.
Use and maintain standard move-in / move-out checklists, forms, and communication templates.
Verify utilities and required tenant insurance before keys or access codes are released.
Resident Relations & Communication
Serve as primary point of contact for resident communication: calls, emails, portal requests, and basic notices.
Meet response-time expectations set by the Director of Housing; escalate complex or sensitive issues when needed.
Help residents use the portal or other tools to pay rent and submit maintenance requests.
Payments, Delinquencies & Compliance
Monitor rent collection and late balances for assigned properties; send reminders and support repayment plans within policy.
Apply late fees and other charges accurately; ensure notices and documentation follow company standards.
Keep resident records (leases, notices, insurance, key compliance documents) organized and complete.
2. Property / Physical Asset Management
Property Readiness & Unit Turns
Inspect units at move-out and document condition.
Coordinate unit turns with maintenance and vendors: cleaning, repairs, and final sign-off before new move-ins.
Maintain standards for cleanliness, safety, and basic presentation.
Maintenance & Vendors
Run the maintenance request process for your properties: intake, triage, work orders, scheduling, and confirmation of completion.
Work with the maintenance team and approved vendors; ensure work is coded to the right property and, when appropriate, to tenant charge-backs.
Flag recurring issues or vendor problems to the Director of Housing.
3. Internal Business, Systems & Team Support
Systems & Tools
Use the property management system (leases, templates, work orders, notes) as designed; keep data accurate and current.
Follow standard processes for leasing, maintenance, utilities, and reporting; suggest improvements based on daily experience.
Help keep property information (access codes, lockboxes, notes) updated and easy for the team to find.
Team & Culture
Support a calm, clear, resident-centered culture in all interactions.
Help train new housing staff on day-to-day processes and tools as directed by the Director of Housing.
Participate in regular check-ins and follow through on agreed actions.
Reporting & Coordination
Provide basic updates on occupancy, collections, unit turns, and maintenance activity for your portfolio.
Coordinate with the Director of Housing and internal teams (maintenance, operations, accounting) to resolve issues.
Flag legal, financial, or reputational concerns early so they can be addressed at the right level.
Ideal Candidate
2+ years of residential property management experience (multifamily, SFR, or similar).
Strong on follow-through and organization; able to manage many small details without dropping balls.
Comfortable with resident-facing work, including difficult conversations about payments and compliance.
Experience with supportive / accessible / aging-in-place housing is a plus; Madison / Dane County familiarity is a plus.
