Job Summary
We are seeking a dynamic Practice Administrator with a passion for healthcare operations to lead and manage our clinical practice. In this vital role, you will oversee daily administrative functions, ensure compliance with healthcare regulations, and foster an efficient, patient-focused environment. Your leadership will drive operational excellence, support staff development, and promote seamless clinic operations.

Responsibilities

  • Manage fiscal operations including budgeting, financial management, and resource allocation to ensure the practice's financial health.
  • Supervise medical office staff, including hiring, training, performance evaluations, and human resources functions.
  • Oversee medical administrative support functions such as medical records management, medical terminology accuracy, and compliance with HIPAA regulations.
  • Utilize EMR (Electronic Medical Records) and EHR (Electronic Health Records) systems like Epic, eClinicalWorks, Dentrix, and Athena to maintain accurate patient data and streamline workflows.
  • Ensure clinic compliance with healthcare standards such as JCAHO accreditation and managed care requirements.
  • Coordinate clinic operations including scheduling, patient flow management, and ensuring a high standard of patient care.
  • Oversee billing processes, insurance claims processing, and utilization management to optimize revenue cycle management.
  • Lead efforts in medical management activities related to acute care settings or dental clinics as applicable.
  • Negotiate insurance contracts, professional service agreements, and rental/outreach contracts.
  • Manage provider credentialing, licensing, and privileging.
  • Serve as the HIPAA Compliance Officer and oversee OSHA and MIPS reporting.
  • Manage CLIA lab certification, Stericycle waste management, and IAC accreditation for CT scans.
  • Ensure data interoperability and "Good Faith Estimate" compliance per federal regulations.
  • Manage all practice insurance policies (Cyber, Malpractice, General Liability).

IT, Marketing & Legal

  • Oversee all IT systems and hardware in coordination with contracted IT vendors.
  • Collaborate with legal counsel to draft partner agreements, buy-ins, and lease agreements.
  • Manage marketing budgets, website design, and social media presence (FB/Instagram).
  • Serve as Board Secretary and represent the practice in professional organizations (MMGMA, ASCENT, etc.).

Qualifications

  • Proven experience in medical office management or healthcare operations with supervisory responsibilities.
  • Strong knowledge of fiscal management principles including budgeting and financial oversight.
  • Extensive experience with EMR/EHR systems such as Epic, eClinicalWorks, Dentrix, Eaglesoft or similar platforms.
  • Background in medical administration support within clinics specializing in acute care or dental services.
  • Familiarity with HIPAA regulations and medical records management practices.
  • Demonstrated leadership skills in supervising staff and managing human resources functions.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced healthcare environment.
  • Knowledge of healthcare standards such as JCAHO accreditation processes and managed care protocols is preferred. Join us as a Practice Administrator to lead our team toward operational excellence while making a meaningful difference in patient care

Pay: $49, $59,583.36 per year
