Our law firm specializes in immigration. We are seeking a detail-oriented, bilingual (Spanish/English) Administrative Assistant to serve as a first point of contact for callers, provide Spanish–English translation and interpretation, support marketing and online advertising when call volume is low, and assist with day-to-day administrative operations of a busy immigration law practice. Compensation:

$7.25 hourly

Responsibilities:

Client Communication & Intake

  • Answer, screen, and route phone calls with professionalism and empathy.
  • Conduct initial client screening/intake following firm protocols.
  • Schedule consultations, manage calendars, and send confirmations/reminders.
  • Provide timely, courteous follow-up and status updates to clients.

Translation & Interpretation

  • Translate documents, emails, and client communications from Spanish to English and vice versa.
  • Provide real-time interpretation for calls or virtual meetings, as needed.
  • Maintain accuracy, neutrality, and confidentiality in all language services.

Marketing & Online Advertising Support

  • Prepare and post approved content across firm social platforms (Google Ads, Facebook, etc).
  • Track metrics (lead source, call volume, conversion) and suggest optimizations.

Administrative & Operations Support

  • Manage shared inboxes, route messages, and maintain organized digital files.
  • Update CRM/case management systems with accurate client data and notes.
  • Generate and format documents, forms, and correspondence using templates.
  • Assist with billing tasks (time entries, invoice preparation, follow-ups) as directed.
  • Support special projects and other duties typical of a law office environment.

Qualifications:

Minimum Qualifications

  • Bilingual fluency in Spanish and English, with strong verbal and written skills in both.
  • 1+ year experience in administrative, receptionist, customer service, or legal support role.
  • Strong phone etiquette, active listening, and client-service orientation.
  • Proficiency with:
  • Google Workspace or Microsoft 365
  • Calendaring tools (e.g., Google Calendar, Outlook)
  • Basic CRM/data entry
  • Social media platforms; comfortable learning ad managers
  • Typing speed and accuracy suitable for high-volume communication and data entry.
  • Reliable high-speed internet and a quiet, professional remote workspace.
  • Ability to handle confidential information with discretion.

Preferred Qualifications

  • Experience in an immigration law firm or legal services setting.
  • Familiarity with common immigration forms and terminology.
  • Basic familiarity with Google Ads, Facebook Ads, etc.
  • Experience handling high call volumes and managing priorities in a fast-paced environment.
