Our client, a fast-growing AI software company serving financial advisors and other financial services professionals, is seeking a highly capable
Executive Assistant

to partner closely with the CEO and COO. This role is ideal for a proactive, detail-obsessed professional who thrives in a high-velocity, growth-stage environment and takes pride in elevating executive productivity, company operations, and team experience.

You'll act as the right hand to the cofounders—anticipating needs, removing friction, and ensuring flawless execution across meetings, communications, and operational initiatives. This is a rare opportunity to play a key role in scaling an innovative company at the intersection of AI and financial technology.

Key Responsibilities

Executive Productivity & Effectiveness

  • Deliver a
    15–20% lift in available strategic time

for the CEO and COO by anticipating needs, managing priorities, and removing recurring friction points.
- Take ownership of administrative, scheduling, and follow-up tasks with impeccable attention to detail.
- Ensure
100% preparation and "bulletproof" follow-up

for all internal and external meetings, presentations, and operational initiatives.

Office Operations & Vendor Management

  • Establish and maintain a
    smooth office operating rhythm

, managing visitors, supplies, facilities, and service providers.
- Support the implementation of new operational systems and processes that enhance company efficiency.

Team Coordination & Event Support

  • Coordinate
    high-quality team meetings

, all-hands, offsites, and culture events with positive internal feedback and on-budget execution.
- Manage logistics, communications, and cross-functional coordination for company-wide initiatives.
