Job Overview
We are seeking a detail-oriented and organized Accounting Office Assistant to join our administrative team. This role provides vital support to our accounting and office operations, ensuring smooth daily functions. The ideal candidate will possess strong computer literacy, excellent organizational skills, and experience in office management or clerical roles. Bilingual abilities and familiarity with QuickBooks or bookkeeping are a plus. Responsibilities
- Assist with data entry, filing, and maintaining accurate financial records using QuickBooks and Microsoft Office tools
- Manage front desk duties including greeting visitors, handling multi-line phone systems, and providing exceptional customer service
- Support office management tasks such as calendar management, appointment scheduling, and document proofreading
- Respond to customer inquiries via phone and email with professional phone etiquette and customer support skills
- Perform general clerical duties including typing, proofreading, and organizing documents
- Support bookkeeping activities including invoicing, billing, and basic financial reconciliation
- Maintain organized office files both digitally (Google Workspace) and physically
- Assist with medical or dental receptionist tasks if applicable, including appointment scheduling and patient record management
- Provide administrative support to team members as needed, demonstrating strong time management and organizational skills
Qualifications
- Proven experience in office management, clerical work, or administrative support; prior experience as a personal or medical receptionist is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or bookkeeping software is preferred
- Strong organizational skills with attention to detail and accuracy in data entry and proofreading
- Excellent communication skills, both verbal and written; bilingual abilities are highly desirable
- Ability to handle multi-line phone systems professionally with good phone etiquette
- Demonstrated ability to manage time effectively in a fast-paced environment
- Office experience including filing, calendar management, and customer service roles is required
- Knowledge of office equipment operation such as printers, scanners, and fax machines is beneficial
