Overview
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will possess strong office management skills, proficiency in computer applications, and excellent communication abilities. Bilingual skills are a plus to serve diverse client needs. This position offers an engaging work environment where attention to detail and organizational skills are highly valued.
Duties
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Handle data entry, filing, and document proofreading to maintain accurate records
- Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
- Assist with bookkeeping tasks using QuickBooks and perform basic office management duties
- Support customer service efforts by addressing inquiries promptly and effectively
- Manage office supplies inventory and place orders as needed
- Provide administrative support including typing correspondence, preparing reports, and supporting personal assistant tasks when required
- Maintain a clean and organized front desk area to promote a welcoming environment
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Experience with office management systems and data entry processes
- Excellent organizational skills with the ability to multitask efficiently
- Effective phone etiquette with experience managing multi-line phone systems
- Clerical experience or previous office experience preferred
- Customer service skills with a focus on professionalism and responsiveness
- Bilingual abilities are highly desirable to assist diverse clientele
- Knowledge of QuickBooks for bookkeeping purposes is a plus
- Ability to handle proofreading tasks accurately and efficiently
- Time management skills to prioritize tasks effectively
- Personal assistant or medical/dental receptionist experience is advantageous but not required
