Position Summary
The Office Manager is responsible for overseeing day-to-day administrative, accounting, and facility coordination activities to ensure the office runs smoothly and efficiently. This role supports office operations, vendor coordination, basic accounting functions, and serves as a primary point of contact for incoming communications.
Key Responsibilities
Office & Administrative Management
- Manage office supplies inventory and ordering
- Maintain organization and functionality of office spaces
- Answer and route incoming phone calls professionally
- Provide general administrative support to leadership and staff
Building & Facilities Coordination
- Coordinate all building-related services, including:
- Janitorial services
- Landscaping services
- Serve as the primary contact for building-related vendors
- Monitor office and facility needs and communicate issues to management
Accounting & Financial Support
- Process Accounts Payable (AP), including invoice entry and tracking
- Enter accounting jobs and transactions into the accounting system
- Maintain organized vendor and financial records
- Support internal or external accounting partners as needed
Communication & Coordination
- Act as a liaison between office staff, production, vendors, and management
- Assist with scheduling, documentation, and special projects as assigned
Qualifications & Skills
- Experience in an Office Manager or administrative role
- Manufacturing or industrial environment experience preferred
- Basic accounting or AP experience required
- Strong organizational and multitasking skills
- Proficient in Microsoft Office (Excel, Word, Outlook); accounting software experience a plus
- Professional communication and customer service skills
Work Environment
- Office-based role within a manufacturing facility
- Frequent interaction with staff, vendors, and service providers
Job Type: Full-time
Pay: $50, $60,000.00 per year
