Urban Timber Tree Service is a fast-growing, safety-driven tree care and removal company providing residential, commercial, and land-clearing services across the Portland metro area. As we continue to expand, we are looking for an organized and proactive Project Coordinator to support operations, scheduling, and client communication.
Position Overview
The Project Coordinator plays a vital role in ensuring our projects move smoothly from first contact to completion. This role works closely with sales, arborists, crew leads, and clients to manage scheduling, permits, utility coordination, and internal communication. The ideal candidate thrives in a fast-paced environment, has strong attention to detail, and enjoys keeping many moving pieces organized.
Key Responsibilities
Project Coordination & Scheduling
- Schedule and manage daily/weekly calendars for estimators and production crews.
- Coordinate equipment, trucking, and staging needs for each job.
- Track project progress to ensure timely completion and update schedules as needed.
- Maintain communication with clients, providing updates before, during, and after service.
Client Communication & Support
- Serve as a primary point of contact for clients from estimate to final invoice.
- Draft and send proposals, estimates, and follow-up communication.
- Manage job documentation, including photos, site notes, scope changes, and work authorizations.
- Handle questions, rescheduling, and service adjustments promptly and professionally.
Permits, Utilities & Compliance
- Prepare and submit tree-removal permits for local jurisdictions (City of Portland, Tualatin, etc.).
- Coordinate with Oregon utility companies (PGE, Pacific Power) for line-clearance or shutdown requests when needed.
- Ensure projects comply with local code, environmental restrictions, and safety requirements.
Internal Operations & Support
- Communicate job details clearly to production crews, including access notes, hazards, equipment needs, and client instructions.
- Maintain records in CRM and project management systems.
- Assist with invoicing, job costing, and material tracking.
- Support continuous improvement of company workflows, SOPs, and client satisfaction.
Qualifications
Required
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Ability to manage multiple projects simultaneously
- Comfortable working in a fast-paced, field-service environment
- Proficiency with CRM or project management software
- Customer service experience
- Valid driver's license
Preferred (Not Required)
- Experience in tree service, landscaping, construction, or related industries
- Familiarity with municipal tree-removal permitting
- Knowledge of arboriculture terminology or willingness to learn
- Understanding of utility hazards and job-site safety
- Experience coordinating crews or field operations
