Essential Functions & Key Responsibilities for Administrative Assistant

  • Maintain strict confidentiality of all personnel records and employee information.
  • Assists in the recruiting process to include processing applications and new-hire paperwork, interviewing candidates as needed and tracking applicant flow information.
  • Maintains personnel records of active and terminated employees according to company policy.
  • Enters new hire information, personnel changes, and payroll information into HRIS system.
  • Answers questions concerning benefits, schedules, uniforms, policy and escalates employee concerns in a professional and timely manner.
  • Coordinates fingerprints for the USPS line of services and serves as signatory for SIDA badging applications.
  • Maintains schedules, compiles reports, and prepares billing information.
  • Maintains OSHA records and assists in administering on-the-job injury reporting.
  • Processes internal/external communications as needed.
  • Keep records of all information related to employee documentation.
  • Perform other related duties as assigned within the appropriate skill and experience capabilities expected for this position.

Qualifications for Administrative Assistant

  • Administrative experience: 2 years (Preferred)
  • Proficiency in Microsoft Word & Excel: 2 years (Preferred). Intermediate or Advanced Skills (Most Competitive)
  • Ability to multi-task with excellent time management and organizational skills
  • Exemplify strong ability to be flexible, resourceful and make sound judgments.
  • Ability to maintain positive relations with internal and external contacts.
  • Exemplify strong problem-solving skills with the ability to anticipate needs and improve processes.
  • Experience working in a fast-paced environment and effectively manage competing demands.

*** This is NOT a hybrid role; Remote work is not permitted. Job is on site and work week is split between airport operations & corporate.

Pre-requisite:

  • Must be a local (in-state) resident.
  • Must be 18 years of age.
  • Ability to pass up to a 10-year background check
  • Must be at least 18 years of age.
  • Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.
  • Must complete SIDA training to obtain an airport authority identification security badge.
  • Must possess a High School diploma or GED.

Minimum Qualifications

  • High School Graduate or Equivalent
  • Must be a local (in-state) resident.
  • Ability to pass a pre-employment drug screen.
  • Ability to pass up to a 10-year background check.
  • Must be at least 18 years of age.
  • Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.
  • Must complete SIDA training if needed to obtain airport authority identification security.
