Position Overview

The Administrator, Office Support serves as the initial point of contact for CMH guests. This position is responsible for answering and directing incoming calls, overseeing the reception area—including deliveries and walkin visitors—and providing administrative support through data entry, ordering office supplies, and maintaining office equipment. The role also plays a key part in assisting the Guest Services team by managing guest bookings from the time a deposit is received onward, ensuring an exceptional guest experience.

The Administrator, Office Support handles the processing of waivers, payment entry, confirmation communications, accurate maintenance of guest profiles, and general departmental support.

Essential Duties and Responsibilities

  • Act as the first point of contact for all guests entering the office or calling in, providing a warm welcome that sets the tone for an exceptional guest experience.
  • Managing all incoming communications (phone, email, walk-ins), providing exceptional service and information, as needed.
  • Coordinate all aspects of inbound and outbound mail distribution.
  • Maintain office equipment including service calls, supplies needed and equipment contracts.
  • Coordinate the processing and shipping of lost and found items.
  • Reconcile petty cash for reception.
  • Process invoices, make office-related purchases, and month-end reconciliation.
  • Maintain the professional appearance and organization of the reception are of the office, ensuring it reflects the premium brand of the company.
  • Open and close the CMH office on Bear Street as required.
  • Maintain accurate office directories and contact lists.
  • Manage all aspects of pricing, ordering, and delivering office supplies.
  • Coordinate office maintenance, cleaning, and off-site storage contracts.
  • Support new employee onboarding with office keys, nameplates, and business cards.
  • Assist with Banff operations rescue bell, as needed.
  • Input and maintain guest trip information in database
  • Process guest payments and manage guest questionnaires
  • Send booking confirmations to guests
  • Provide administrative support to trip coordinators as needed
  • Oversee Ikon Pass Program for CMH distribution, and the CMH Reciprocal Ski Pass Program.
  • Waiver and document control: oversee the digital collection and auditing of guest liability waivers and forms to ensure 100% compliance and accuracy.
  • Assist with event planning, as required.

Minimum Qualifications

  • Post-secondary education in office administration, preferred.
  • Minimum 2 years' experience working in an administrative capacity.

  • Support guests in the field program during area visits, as needed.

Working Conditions

  • Able to lift, carry, or otherwise move and position up to 20 pounds on an occasional basis.
  • Manual dexterity to operate a computer and other common office equipment on a constant basis.
  • This position is required, at times, to work on evenings, weekends, and holidays based on the needs of the business. 
  • This position may require occasional travel to CMH areas, as well as some travel to industry functions on an occasional basis.
