Description

The Subcontracts Coordinator is responsible for managing all contractual aspects of a rail construction project, ensuring compliance with contract terms, applicable legislation and project requirements.  The role oversees a small team of contract administrators and supports successful project delivery by mitigating contractual risk, managing claims and coordinating closely with the Subcontracts Manager, project managers, project controls, procurement and construction and technical teams to ensure all subcontractors comply with contractual obligations, schedule, quality and health and safety standards. 

Responsibilities

Contract Administration Compliance
•    Ensure subcontracts, supplier agreements and consultant agreements are administered in accordance with project requirements
•    Interpret contract documents and provide guidance to administrators and project teams to ensure compliance with contract terms, technical specifications, drawings, schedules and applicable law and regulations

Change Management & Claims
•    Manage change orders, variations, and contract modifications, including pricing, schedule impacts, and approvals
•    Support preparation, evaluation, and negotiation of claims, disputes, and time extensions
•    Maintain detailed records to support entitlement and defend against claims

Risk & Commercial Management
•    Identify contractual and commercial risks and recommend mitigation strategies
•    Monitor contractor performance, contractual and team KPIs
•    Support commercial forecasting and cost control related to contract obligations

Stakeholder Coordination
•    Coordinate with engineering, construction, scheduling, cost control, and procurement teams
•    Participate in project meetings and provide contractual input on key decisions

Reporting & Documentation
•    Maintain accurate contract files, correspondence, and registers (changes, claims, RFIs, notices)
•    Ensure administrators are tracking key contractual dates, milestones, and notice requirements
•    Review contract status reports for management and project leadership

Qualifications


•    Bachelor's degree in construction management, Law, Engineering, Quantity Surveying, Business, or related field
•    5+ years of contract management experience on major infrastructure or rail construction projects
•    Strong knowledge of construction contracts 
•    Understanding of rail project delivery methods (Design-Bid-Build, Design-Build, CM/GC, PPP)
•    Experience administering change orders, claims, and dispute resolution processes

Preferred Qualifications
•    Experience on rail, transit, or transportation infrastructure projects
•    Familiarity with government-funded or public-sector rail projects
•    Professional certifications (CCM, CPCM, PMP, MRICS)
