ELS is hiring for the position of Events Specialist in Plano, Texas.Role Overview
As a Trade Show & Event Specialist , you play a key role in representing our brand and creating memorable, high-impact experiences for prospective and current members. You'll manage event logistics, coordinate marketing materials, collaborate with internal and external teams, and ensure each show runs smoothly from pre-event prep to post-show wrap-up. Beyond trade shows, you'll also support rally and group sales initiatives during shoulder seasons, helping with vendor coordination, reporting, and special event logistics.
In addition to event execution, you'll be responsible for managing budgets, tracking financial performance, and applying sound financial judgment to maximize ROI and ensure cost-effective decision-making across all initiatives.
Your Mission
To plan, execute, and optimize trade show and event participation—driving brand awareness, generating leads, and delivering standout experiences across all markets. You'll also assist with rally and group sales efforts during off-peak periods, ensuring seamless support and helping amplify group engagement efforts across the portfolio.
Core Responsibilities
Trade Show & Event Management
- Develop and implement strategies for trade show and event success across various business divisions.
- Attend and manage events onsite, including booth setup, event coordination, and teardown.
- Serve as the primary point of contact for corporate-level trade shows and large-scale event activations.
- Coordinate and support special events held at company properties or partner venues.
Logistics & Inventory
- Oversee the shipping, inventory, and organization of booth materials, collateral, and branded merchandise.
- Maintain accurate storage records and ensure materials are prepped and replenished for upcoming shows.
Budgeting & Reporting
- Manage event budgets from conception to reconciliation, optimizing spend while maintaining high-quality experiences.
- Create, track, and manage monthly and annual budgets related to trade shows and event participation.
- Monitor and report on KPIs such as membership sales, reservation revenue, lead generation, and event ROI.
- Monitor and report on financial performance of events, identifying opportunities for savings and efficiency.
Cross-Functional Collaboration
- Work closely with Marketing and Creative to coordinate event promotions, branded materials, and booth design updates.
- Collaborate with Group Sales, Rally Planning, and other internal teams on strategies to drive attendance and engagement.
- Partner with Regional Operations teams to support local and smaller shows, ensuring brand consistency across all activations.
- Contribute to team and regional meetings with updates, ideas, and performance insights as needed.
Research & Development
- Research and recommend new trade shows, expos, and events to expand market reach and brand visibility.
- Stay current with event industry trends and competitor presence to identify opportunities for innovation and differentiation.
Support to Group Sales & Rally Team
- Assist with vendor bookings, communication, and coordination for events hosted at properties or partner locations.
- Provide reporting and administrative support related to group and rally events, including lead tracking and follow-up.
- Step in during shoulder seasons or off-peak periods to support special projects, overflow needs, and group engagement efforts.

Dress Code
Trade Shows & Events:
- Branded apparel (e.g., Thousand Trails / Encore polos, jackets) must be worn unless otherwise instructed.
- Bottoms should be clean, professional, and comfortable for long days on your feet (e.g., slacks, khakis, dark jeans).
- Closed-toe shoes are required—opt for comfortable but polished footwear.
- No ripped jeans, flip flops, short skirts, or clothing with non-company logos.
Setup Days or Casual Travel Days:
- Smart casual is acceptable (company tee, jeans, clean sneakers).
- If working in the booth during setup, wear attire appropriate for lifting and moving materials.
Attendance & Punctuality:
- Arrive at least 30 minutes prior to booth open time each day of the show.
- Setup and breakdown participation is required unless approved otherwise.
Must be reachable during the entire show / event. If you are not attending the show, must be available via a phone call for any questions or to assist with any emergencies. If unable to be available, but get with Events Manager to cover or assist
Experience & skills you need:
- Bachelor's degree in Marketing or related field preferred.
- Event management or Trade Show experience.
- Meticulous attention to detail.
- Ability to work efficiently under pressure, drive projects to completion and meet deadlines.
- Strong communication skills, including problem-solving and collaboration with different teams.
