The Administrative Assistant provides essential support to the daily operations of Stand Up Placer ensuring the organization runs efficiently and effectively. This position plays a vital role in supporting staff, assisting with donor relations, maintaining office functions, and providing administrative support to victim witness services. The ideal candidate is detail-oriented, organized, and committed to the mission of serving our community.

ESSENTIAL RESPONSIBILITIES MAY INCLUDE THE FOLLOWING:

Key Responsibilities:

  • Mail & Correspondence: Process incoming and outgoing mail in a timely manner; route correspondence as appropriate.
  • Donations & Donor Relations: Record and process all donations; maintain accurate donor records; prepare and send donor thank-you letters and acknowledgments.
  • Office & Supplies: Order and maintain inventory of office and program supplies; track expenses and ensure cost-effectiveness.
  • Victim Witness Support Duties: Provide administrative support to victim witness programs, including maintaining confidential files, scheduling appointments, and handling sensitive information with discretion.
  • General Administrative Support: Answer phones, greet visitors, schedule meetings, prepare documents, and support staff with clerical needs.
  • Special Event Support: Support special events with logistics, guest assistance, sponsor and donation coordination, and donor database management, including data entry and post-event reporting.
  • Other Duties as Assigned: Assist with special projects, fundraising events, and additional organizational responsibilities as needed.

Qualifications:

  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Knowledge of fundraising software (preferred)
  • Ability to handle confidential information with discretion
  • Adaptability and willingness to take on varied tasks
  • Positive attitude and team-oriented mindset

Work Environment

This position is primarily office-based with occasional local travel for errands, meetings, or events. Moderate lifting (up to 25 lbs.) may be required.

COMPENSATION AND BENEFITS

Compensation is commensurate with experience. Benefits include medical, dental, vision and short- and long-term disability insurance, 401K and paid vacation, sick time and 11 holidays.
