This role blends purchasing, receiving, inventory accuracy, curated product preparation, and product warranty processing. If you thrive on organization, accuracy, follow-through, and the satisfaction of a fully functioning system, you will excel here.

What You'll Do -

Purchasing & Vendor Coordination

  • Maintain healthy inventory levels by ordering fabric, notions, accessories, machines, parts, and supplies.
  • Track open purchase orders and follow up with vendors regarding delays or shortages.
  • Analyze sales trends to prevent overstocking and out-of-stocks.
  • Build strong vendor relationships to ensure accuracy, timeliness, and competitive pricing.

Receiving & Inventory Integrity

  • Receive shipments with accuracy: verify product, quantities, pricing, and condition.
  • Enter inventory into the POS system quickly and correctly.
  • Manage freight discrepancies, missing items, and returns/credits.
  • Maintain a tidy, well-organized receiving area that supports efficient operations.

Product Warranty Processing

  • Submit product warranty claims for parts and labor using proper documentation.
  • Track claim approvals, denials, credits, and follow-up requirements.
  • Maintain warranty logs and digital documentation.
  • Coordinate with the service technician on parts usage and machine details to ensure accurate submissions.

Curated Kits, Bundles & Product Inserts

  • Price curated kits and bundles based on cost and margin goals.
  • Create clear kit inserts using approved templates.
  • Ensure all curated products are entered, labeled, and prepared for the sales floor.

Customer Special Orders

  • Manage special orders from initial entry through receiving.
  • Submit special order requests to vendors and track shipment status.
  • Communicate order progress updates to the Shop Manager as needed.
  • Ensure accurate documentation and proper storage of special orders once received.
  • Notify the Shop Manager immediately when an order arrives so customer pickup can be coordinated.

Operational Support

  • Assist with inventory planning, stock rotation, and replenishment.
  • Participate in inventory counts and cycle counts.
  • Support shop events, promotions, and seasonal resets as needed.

What You Bring

  • 2+ years of purchasing, receiving, or inventory management experience (required).
  • Strong computer skills: POS systems, Microsoft Excel/Word/Outlook/Teams.
  • Ability to calculate costs, maintain pricing accuracy, and interpret invoices.
  • High attention to detail and ability to maintain accuracy in repetitive tasks.
  • Strong communication and follow-up habits.
  • Ability to lift up to 30 lbs and move inventory carts.
  • Familiarity with quilting or sewing products is preferred, but not required.

Job Type: Full-time

Pay: $ $21.00 per hour

Expected hours: 35 – 40 per week
