Vision Centric, Inc. is seeking highly organized and detail-oriented Administrative Assistants to provide comprehensive support to senior leadership and multiple operational teams. This role requires exceptional communication skills, discretion when handling sensitive information, and the ability to manage a wide range of administrative tasks in a fast-paced environment.
Key Responsibilities:
- Serve as the first point of contact for incoming calls and visitors, screening and directing inquiries appropriately.
- Provide assistance to senior staff and visiting officials, including scheduling calls and coordinating meeting logistics.
- Respond to inquiries from internal and external stakeholders by clarifying needs, researching information, and providing accurate guidance.
- Maintain and organize records, correspondence, and files to ensure efficient workflow and compliance with established policies.
- Prepare, edit, and manage a variety of documents including reports, correspondence, calendars, and statistical data using Microsoft Office Suite.
- Process service requests and ensure timely routing to appropriate personnel.
- Act as designated Timekeeper, reviewing and validating time and attendance records, coordinating corrections, and maintaining compliance with recordkeeping standards.
- Track overtime usage and assist with budget oversight.
- Support program managers by preparing documentation for service requests and coordinating with technical representatives.
- Liaise with external agencies and vendors to schedule training rooms, resolve facility issues, and manage office access control systems.
- Issue and manage secure access credentials for staff and visitors, ensuring compliance with security protocols.
Technical Skills, Experience, and Minimum Requirements:
- Advanced knowledge and proficiency in Microsoft Office products.
- Familiarity with financial systems.
- Effective communication skills (written and verbal), including the ability to prepare and deliver presentations to groups or executives.
- Resourcefulness, initiative, and ability to thrive in a fast-paced environment.
- Strong attention to detail and ability to accomplish goals/tasks with minimal supervision.
- Professional demeanor and ability to interact effectively with diverse stakeholders.
- Ability to meet planned and unscheduled deadlines in a timely manner.
- Physical requirements include lifting, bending, and working while seated; good vision for reading and typing documents.
- Must maintain neat, clean, and professional appearance; business casual attire required.
- Ability to work independently while adhering to established procedures.
- Must successfully complete and maintain a background suitability clearance prior to starting work.
- Ability to comply with secure access protocols; identification badge will be issued and must be returned upon termination of services.
Qualifications:
- Associates with 5 years experience.
- Proven experience in administrative support roles, preferably in a complex or multi-division environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and multitasking skills with attention to detail.
- Ability to handle sensitive information with discretion and integrity.
- Strong interpersonal and communication skills for interacting with diverse stakeholders.
Work Arrangement:
This is an onsite position requiring presence at the designated office location.
