Job Summary
We're looking for an experienced, highly organized Executive Assistant to support two Co-CEOs of a growing construction firm. This role requires exceptional judgment, discretion, and the ability to anticipate needs in a fast-paced, dynamic environment. The ideal candidate is proactive, detail-focused, and able to juggle a wide range of responsibilities with calm efficiency. Construction industry experience is a plus, but a strong background supporting senior leaders is essential.
Key Responsibilities
- Provide comprehensive administrative support to both Co-CEOs, ensuring daily operations run smoothly and efficiently.
- Manage complex calendars, schedule meetings, and coordinate appointments across multiple platforms.
- Prepare high-level reports, presentations, spreadsheets, and correspondence with minimal direction.
- Own the creation, maintenance, and analysis of Excel workbooks (project tracking, forecasting tools, KPIs, etc.).
- Coordinate travel arrangements and logistics for business meetings and site visits.
- Handle confidential and sensitive information with impeccable discretion.
- Support communication flow by drafting emails, memos, and executive summaries.
- Participate in key meetings by taking detailed notes, tracking action items, and ensuring completion.
- Serve as a liaison between executives, internal teams, clients, and external partners.
- Assist with special projects, research initiatives, and strategic planning tasks as needed.
- Maintain organized systems for document management, approvals, and workflow processes.
- Anticipate needs by staying ahead of deadlines and managing priorities proactively.
Experience
- 5+ years of Executive Assistant experience supporting C-suite leaders (supporting multiple executives is preferred).
- Advanced Excel skills required (pivot tables, VLOOKUP/XLOOKUP, complex formulas, data analysis, and clean formatting).
- Strong proficiency in Microsoft Office Suite, SharePoint, Teams, and general tech troubleshooting.
- Exceptional written and verbal communication skills.
- Proven ability to manage competing priorities and operate with a high degree of autonomy.
- High emotional intelligence, professional judgment, and ability to build strong working relationships.
- Experience in a construction, engineering, or similar project-driven environment is a plus.
- Strong organizational skills with a natural inclination toward process improvement.

Pay: $65, $90,000.00 per year
