TITLE: Home Instruction for Parents of Preschool Youngsters (HIPPY) Full-

Time Administrative Assistant (Burkburnett office)

STATUS: Non-Exempt

REPORTS TO: HIPPY Coordinator

Purpose: Serve as the primary contact for callers or visitors. Answer the telephone and provide information or direct visitors to appropriate staff. Provide administrative and clerical support to other staff members as needed. Manage office operations, monitor office and curriculum supplies/inventories and contact program director or Burk ISD when equipment maintenance is required.

Primary Responsibilities

I. Coordination of Activities

Maintain calendar of meetings, events and appointments for the staff

Maintain a file for notices of all meetings and events.

Order food and/or refreshments for major meetings, coordinating with primary staff

person

Assist with preparations for meetings to include materials, refreshments and room

setup

Assist with meetings and special events reservations and table assignments

Assist with sign-in at group connections

II. Database Maintenance and Home Visiting Assistance

Assist with data entry as needed.

Conduct assessments as needed.

III. Office Management

Serve as primary assistant to the Coordinator

Maintain current rosters of HIPPY staff and families.

Oversee ordering of office supplies. Maintain adequate supplies for all projects. Research

available costs and maintain responsible conservative use of materials

Organize and maintain the curriculum and storage closets.

Maintain inventory of curriculum supplies and materials.

Assign supplies and materials to home visitors.

Oversee maintenance of office equipment with coordinator.

Assist other staff members as needed.

Perform other duties as assigned by Coordinator.

IV. Educational Requirements and Skills

Associate Degree or equivalent background/experience in professional setting

Proficient in Microsoft Office to include Excel

Strong Verbal, Writing and Editing Skills

V. Job Related Physical Standards

Be able to lift and carry office materials up to a weight of 50 pounds

Be able to travel independently in own vehicle

Visual acuity of 20/20 (corrected) and hearing acuity of 80-100% required

Job Type: Full-time

Pay: $ $20.00 per hour
