Job Summary
We are seeking an energetic and detail-oriented Office / Ecomm Assistant to join our dynamic team This vital role combines administrative support, office management, and e-commerce assistance (Shopify, Email marketing content, etc) to ensure smooth daily operations. The ideal candidate will thrive in a fast-paced environment, demonstrating excellent organizational skills, strong communication abilities, and a proactive attitude. As an Office / Ecomm Assistant, you will be the backbone of our administrative functions, providing interaction with vendors, sourcing new products and supporting various office and online business activities. Responsibilities
- Manage vendor and customer interactions by email and calls with professional phone etiquette
- Oversee office management tasks such as filing, data entry, proofreading, and maintaining organized records
- Support e-commerce operations by updating product listings, processing online orders, and managing inventory data using computer skills and Google, Word, and creating digital images, workspace tools, etc.
- Provide excellent customer support via phone, email, and in-person interactions; address inquiries promptly and professionally
- Assist with calendar management, appointment scheduling, and personal assistant tasks for team members
- Perform clerical duties including typing documents, organizing files, and ensuring accurate data entry in QuickBooks or other bookkeeping software
Skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace applications, Shopify, Digital image creation / copy.
- Experience with Microsoft software is highly desirable
- Excellent organizational skills with the ability to multitask efficiently in a busy environment
- Prior office experience or administrative background preferred; familiarity with clerical tasks and online applications a plus
- Exceptional customer service skills with a professional demeanor and strong phone etiquette
- Ability to manage time effectively while maintaining attention to detail in data entry and document management
- Knowledge of multi-line phone systems and office management best practices
- Personal assistant or medical/dental receptionist experience is advantageous but not required
