About the Opportunity:

The organization is focused on transforming autism care by empowering BCBAs to run independent practices and enabling families to access high-quality ABA therapy efficiently. The Executive Operations Assistant ensures leadership is supported, operations are streamlined, and high standards of care and efficiency are maintained throughout the team.

Responsibilities:


• Support the leadership team by managing calendars, tasks, follow-ups, and information flow.


• Remove daily operational friction to allow leaders to focus on growth.


• Translate verbal ideas into structured action plans, documents, or workflows.


• Monitor customer and provider support channels, ensuring timely and clear responses.


• Identify recurring support issues and implement solutions.


• Maintain and update internal SOPs, checklists, templates, and knowledge bases.


• Build and improve repeatable processes across admin, intake, operations, HR, and support functions.


• Spot and fix inefficiencies independently.


• Conduct research on vendors, tools, regulations, and best practices as needed.


• Launch and manage small projects, handing them off once established.


• Coordinate with external partners, vendors, payers, and stakeholders.


• Draft clear internal and external communications, including emails, updates, and documents.


• Manage follow-ups with leadership, clinical, operations, and recruiting teams.


• Ensure teams remain aligned during priority shifts and that information is shared accurately and quickly.

Requirements:


• 2–5 years in an administrative, operations, project coordinator, or chief-of-staff style role in healthcare or a startup environment.


• Anticipates needs and acts with extreme ownership.


• Exceptional written communication skills.


• High attention to detail.


• Ability to build order from chaos and strong systems thinking.


• Skilled with CRMs, Google Workspace, AI, and modern business tools.


• High level of discretion and trustworthiness with sensitive information.


• Able to move quickly while maintaining quality and accuracy.


• Strong problem-solving mindset.
