Job Summary

The Accreditation and Policy Coordinator is responsible for clerical and technical functions to maintain the Kenaitze Indian Tribe's (the Tribe's) accreditation and policy management programs. The position reports to the Accreditation and Policy Manager and will help monitor and manage policy management software, which contains the Tribe's policies, procedures, standard work, and other documents. The Accreditation and Policy Coordinator will also assist in monitoring document due dates and/or regulatory changes and will alert the Accreditation and Policy Manager when documents need to be revised. The position will help with maintaining continued survey readiness for the triennial Commission on Accreditation of Rehab Facilities (CARF) Survey and any other accreditation sought by the Tribe.

Essential Functions

Assists the Accreditation and Policy Manager in the following tasks:

  • Provides training on the Policy Management System
  • Monitors the policy management software system to ensure that all policies and procedures are reviewed in a timely manner and all edits are reviewed by the appropriate parties
  • Tracks and organizes all accreditation documentation
  • Enters monthly receipts for department purchase cards and invoices
  • Monitors all regulatory required documents and alerts the Accreditation and Policy Manager when they are at risk for becoming inactive in the system and/or are not reflect changes imposed by the regulatory bodies
  • Conducts clerical activities including completing forms, entering data, and collecting information to support the department as directed
  • Communicates obstacles to supervisors in a timely manner
  • Seeks out additional learning opportunities to continue to develop the technical and professional skills needed
  • Takes meeting notes and arrange meetings and equipment needed for events or special projects
  • Ensures compliance with Tribal, federal, state, and local employment laws and regulations, Tribal policies and TERO ordinance

Lifting Requirements

  • Sedentary Work - Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

Equipment and Tools

Drives KIT or Personal Vehicle: Personal Vehicle needed to drive between Kenaitze buildings to attend meetings

Qualifications

Education

  • Associate's Degree in a Healthcare or Business related field, or a combination of education and experience may be substituted for a degree

Experience

  • Two (2) years of experience as an administrative assistant, or high level office support

Preferred

  • Knowledge and experience working with cultural diversities
  • Experience managing or editing policies and procedures
  • Experience participating in accreditation survey and policy processes

License/Certification

  • Must have a valid Alaska State driver's license and must remain insurable under the Tribe's policy, or obtain within 90 days of hire

Special Skills

  • Proven ability to work on several projects simultaneously and under tight schedules
  • Detail oriented with strong organizational skills
  • Understand HIPAA and other regulations that must be followed
  • Demonstrated skills in providing excellent services to customers
  • Displays a high degree of professionalism
  • Ability to cooperate with other staff members both within and outside the department
  • Strong oral and written communication skills
  • Knowledge of data collections and interpretations
  • Conducts business in a service-oriented manner that is attentive, pleasant, respectful and kind when dealing with un'ina, visitors, co-workers and others
  • Proficiency with Microsoft Suite
  • Ability to work independently as well as collaboratively

This position is a Covered Position subject to all requirements of the Alaska Barrier Crimes Act (ABCA) and to the Indian Child Protection and Family Violence Prevention Act, (ICPA). ABCA and ICPA requirements apply and must be complied with at all times in order to remain in the position

  • Memorandum of Understanding: Serves as documented evidence that the Kenaitze Indian Tribe has expressed the ineligibility of an employee to operate motor vehicles owned, leased or rented by the Kenaitze Indian Tribe, or to operate a personal vehicle on behalf of the Kenaitze Indian Tribe.
