(Billing, Authorizations, Scheduling & Treatment Planning) – Bergen County, NJ

Location: Bergen County, NJ

Schedule: Full-time

Compensation: $25–$30 per hour, based on experience

About Our Practice

We are a busy, patient-centered dental office in Bergen County looking for a reliable, organized, and friendly Office Assistant / Office Manager to help keep our front office running smoothly. The ideal candidate has experience with dental billing, insurance authorizations, scheduling, and treatment planning and enjoys working with patients and a close-knit team.

Key Responsibilities

  • Front Desk & Patient Relations

  • Greet patients, check them in/out, answer phones, and respond to messages

  • Verify and update patient demographics, insurance information, and forms

  • Provide excellent customer service and help patients feel comfortable

  • Scheduling & Coordination

  • Schedule and confirm appointments and follow-up visits

  • Coordinate provider schedules and daily workflow

  • Reduce no-shows through reminders and follow-up calls/texts

  • Billing & Insurance

  • Enter and review charges for accuracy

  • Submit dental/medical insurance claims electronically

  • Post insurance and patient payments; follow up on unpaid claims

  • Prepare patient statements and discuss balances professionally

  • Authorizations & Eligibility

  • Verify insurance eligibility and benefits prior to visits or procedures

  • Obtain prior authorizations/pre-certifications as needed

  • Communicate with insurance companies regarding coverage and approvals

  • Treatment Planning

  • Work closely with the dentist to prepare and present treatment plans

  • Review recommended procedures, estimated costs, and insurance coverage with patients

  • Explain copays and out-of-pocket responsibilities clearly and professionally

  • Coordinate and schedule multi-visit or phased treatment plans

  • Follow up with patients who have pending treatment to support case acceptance

Qualifications

  • Prior experience in a dental or medical office (strongly preferred)

  • Knowledge of insurance billing, authorizations, and scheduling

  • Familiarity with dental software (e.g., Dentrix, Eaglesoft, Open Dental) is a plus

  • Strong communication skills (phone and in-person)

  • Comfortable discussing estimates, copays, and balances with patients

  • Detail-oriented, organized, and able to multitask in a fast-paced environment

  • Bilingual (English/Spanish) a plus, but not required
