Position Summary

The Health Information Management (HIM) Specialist plays a key role in ensuring the accuracy, integrity, and security of patient medical records. This position is responsible for prepping, scanning, indexing, and analyzing medical records, as well as managing the release-of-information process for patients, providers, and authorized third parties. The HIM Specialist also supports physicians and ancillary departments with documentation needs. Maintaining patient privacy and confidentiality is essential in this role.

Primary Responsibilities
  • Perform all HIM Specialist functions with accuracy, timeliness, and attention to detail.
  • Manage both paper and electronic records, including inpatient, outpatient, Same Day Surgery (SDC), and Emergency Department charts.
  • Efficiently navigate electronic medical record (EMR) systems and related software applications.
  • Support delinquent medical record processes, including generating and sending notifications.
  • Conduct data collection and reporting as requested.
  • Provide assistance on departmental projects and general operational tasks.
  • Cross-train and provide coverage for other HIM Specialist duties as needed.
  • Order and maintain department supplies as assigned.
  • Answer telephone inquiries and provide professional, courteous customer service.
  • Process release-of-information requests for patients, insurers, attorneys, disability services, audits, and continuity of care.
  • Complete all required birth certificate reporting.
  • Follow all organizational and departmental policies, procedures, and the Code of Conduct.
  • Contribute to the Medical Records Department's strategic initiatives.
  • Deliver exceptional customer service to internal and external stakeholders.
Qualifications & Experience
  • High school diploma or equivalent required.
  • Moderate to advanced proficiency with Microsoft Office (Outlook, Word, Excel).
  • Prior hospital medical records experience preferred.
  • Ability to operate standard office equipment.
  • Knowledge of medical terminology preferred.
  • Ability to multitask and perform efficiently in a fast-paced environment.
