Position Summary
The Shop Manager is responsible for overseeing all day-to-day shop operations for every trade division at Professional Mechanical Services (HVAC, Plumbing, Electrical, Drain Cleaning, Insulation). This role ensures that every job is prepped, staged, and delivered with 100% accuracy. The Shop Manager is the backbone of field efficiency—coordinating materials, organizing the shop, managing inventory, and supporting the execution of jobs with speed and excellence.
Key Responsibilities
1. Job Preparation & Staging
- Pull all job materials for HVAC install, HVAC service, plumbing (new construction & remodel), electrical, insulation, and drain cleaning jobs.
- Create complete job kits with labeled materials, equipment, fittings, fasteners, documentation, and permit packets.
- Stage job kits in designated areas for next-day pick-up.
- Coordinate with dispatch and team leads to ensure materials match the job scope.
- Upload packing lists, material slips, and photos into ServiceTitan when needed.
2. Material Ordering & Vendor Coordination
- Order materials accurately based on job scopes provided by sales, service managers, and leads.
- Send purchase orders to vendors (no "truck stock" PO allowed per company policy).
- Track delivery ETAs, verify deliveries, and communicate delays.
- Maintain strong relationships with suppliers for pricing, returns, credits, and priority orders.
- Handle warranty part returns, tracking, and required documentation.
3. Shop Organization & Inventory Management
- Maintain a clean, organized, and safe shop layout at all times.
- Implement and maintain a full inventory tracking system for all materials, tools, equipment, and consumables.
- Perform weekly and monthly cycle counts.
- Manage truck restocking and ensure all trades have proper standard stock.
- Track high-cost items (motors, igniters, electrical gear, plumbing trim, etc.) for accountability.
- Label and organize shelves, bins, tool areas, and job staging zones.
4. Equipment & Tool Management
- Maintain all company tools, testing equipment, ladders, safety equipment, and large shop equipment.
- Schedule calibration, repairs, or replacement of tools.
- Issue tools to technicians with sign-out procedures for accountability.
- Track small-power tools, batteries, and chargers to reduce loss.
5. Job Tracking & Communication
- Work directly with team leads, sales reps, and dispatch to stay ahead of the schedule.
- Confirm job readiness daily: materials, equipment, paperwork, permits, special tools.
- Communicate shortages or missing materials immediately so schedules do not slip.
- Support field staff by solving material emergencies and last-minute changes.
6. Process Compliance
- Ensure all material is added to jobs in ServiceTitan for accurate COGS and financial reporting.
- Follow all purchasing procedures, PO requirements, and warranty guidelines.
- Maintain documentation for all returns, backorders, and delivery discrepancies.
7. Leadership & Culture
- Lead by example using Pro Mech's core values.
- Support technicians, leads, and managers with a positive, solutions-focused attitude.
- Maintain a "5-star service starts in the shop" mentality.
- Collaborate on improving shop workflows, processes, and efficiency.
Qualifications
- 2+ years experience in construction, mechanical trades, warehouse, or shop management preferred.
- Strong understanding of materials for HVAC, plumbing, electrical, drains, and insulation.
- Ability to read job scopes, blueprints, and material lists.
- Excellent organization and multitasking abilities.
- Comfortable using ServiceTitan (or willing to learn quickly).
- Valid driver's license with clean driving record.
- Ability to lift 50–75 lbs regularly.
