Job Summary
We are seeking a highly organized and detail-oriented Executive & Operations Assistant to support our leadership team and streamline daily operations. This role involves providing comprehensive administrative support, managing schedules, coordinating projects, and ensuring smooth office functioning. The ideal candidate will possess strong communication skills, proficiency in office management tools, and the ability to handle multiple tasks efficiently in a fast-paced environment.

Duties

  • Manage and coordinate calendars using Microsoft & Google Workspaces, scheduling meetings and appointments with attention to detail.
  • Provide executive administrative support including drafting correspondence and agreements, proofreading documents, and transcribing audio or written materials.
  • Assist with event planning for company functions, meetings, and client engagements.
  • Oversee office management responsibilities such as filing, organizing documents in person & digitally, maintaining office supplies, and client service interactions.
  • Coordinate projects across departments, ensuring deadlines are met through effective project management practices.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) for various administrative tasks.
  • Manage personal assistant responsibilities such as travel arrangements, personal scheduling, and confidential information handling.
  • Use DocuSign for electronic signatures and facilitate document signing processes efficiently. (Scopes of Work etc)
  • Maintain high standards of phone etiquette while interacting with clients, vendors, and internal teams.

Experience

  • Proven experience in administrative support or office management roles with a focus on executive assistance preferred.
  • Experience in event planning, project coordination, bookkeeping, or related fields is advantageous.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, QuickBooks, and multi-line phone systems.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
  • Demonstrated typing speed and accuracy along with proofreading skills to ensure professional communication.
  • Prior experience in high end client services or executive assistant is beneficial. This position offers an opportunity to work in a dynamic environment where organizational excellence is valued.   • This job may develop into a full time role with time.

Pay: $ $40.00 per hour

Expected hours: 10.0 – 20.0 per week

Work Location: Hybrid remote in Southampton, NY
