We are seeking a dedicated and experienced individual to join our team as a Optical/Administrative Assistant. This position is ideal for someone who is looking to establish a long-term career and play a pivotal role in maintaining our reputation for excellence in patient care. The successful candidate will be responsible for running the front office of our fast-paced multidisciplinary clinic and assisting in optical and eyecare services. in a friendly professional manner.
Responsibilities:

  • Perform Pre-testing of patients, assisting with eye exams, educating patients on eyewear, contact lenses and providing administrative support directly related to patient eye care.
  • Coordinate and collect all invoices statements and facilitate supplier bill payments in accordance to bookkeeper directions.
  • Facilitate payroll and scheduling functions as directed
  • Schedule patient appointments for all practitioners and manage appointment calendar efficiently.
  • Respond to patient calls and emails promptly and professionally, addressing inquiries and concerns as needed.
  • Manage patient flow and ensure a seamless experience from check-in to check-out.
  • Handle billing and collection of payments accurately and efficiently.
  • Process Extended Health Insurance billings via TELUS system.
  • Performs general office duties like managing calls, scheduling, and maintaining records.
  • Reception and administration: Handle front desk duties including scheduling appointments and verifying insurance information
  • Assist patients with frame selection and fitting (experience not required)
  • Support optometrists in various clinical tasks
  • Proficient use of software systems
  • Perform other administrative tasks as assigned to support clinic operations.
