Overview
We are seeking a highly organized and proactive Personal Assistant to support executive leadership with a wide range of administrative and project coordination tasks. The ideal candidate will possess excellent communication skills, strong organizational abilities, and proficiency with office management tools. This role offers an opportunity to work in a dynamic environment where attention to detail and multitasking are essential for success.

Responsibilities

  • Manage and maintain executive calendars, including scheduling appointments and meetings using Microsoft Outlook Calendar and Google Workspace.
  • Coordinate and plan events, meetings, and travel arrangements with precision and efficiency.
  • Handle phone etiquette for multi-line phone systems, screen calls, and direct inquiries appropriately.
  • Perform data entry, filing, and document management tasks with accuracy using Microsoft Office, DocuSign, and other office software.
  • Provide executive administrative support such as proofreading documents, transcription, and preparing reports.
  • Support office management activities including front desk duties, filing systems, and customer service interactions.
  • Facilitate project coordination by tracking deadlines, preparing agendas, and ensuring timely completion of tasks.
  • Manage correspondence via email and other communication platforms while maintaining confidentiality.
  • Help with kids pick up and drop off to school
  • assist nanny with 2 small children
  • Run Errands to help organize my life
  • Help with all task associated with several businesses own
  • working with the doctor and nurses to help add value to the medical clinic i own
  • Working with the team to help add value to an Entertainment company i own
  • Some travel may be involved
  • Assist setting up websites and emails as well as helping to get inusrance approvals

Experience

  • Prior experience as a Personal Assistant or in an administrative support role is preferred.
  • Demonstrated experience in office management, clerical work, or executive administrative support is highly desirable.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Calendar), and data entry systems.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent typing skills along with proofreading and transcription experience.
  • Exceptional phone etiquette skills for managing multi-line phone systems and customer interactions.
  • Experience in event planning, project coordination, or office experience will be considered advantageous. This position is ideal for candidates who are detail-oriented, resourceful, and eager to provide high-level support to busy professionals while contributing to the smooth operation of the office environment.

Job Type: Part-time

Pay: $ $24.88 per hour

Expected hours: No less than 20 per week
