Performs clerical and receptionist duties for the various assigned nursing unit. Complies with hospital policies and procedures, JCAHO standards, and current government regulations.

MINIMUM QUALIFICATIONS :

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

  1. High school diploma or equivalent.

PREFERRED QUALIFICATIONS :

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

  1. Graduate of a Medical Assistant program or secretarial school.

  2. CPR certification.

EXPERIENCE:

  1. One (1) year of administrative or clerical experience.

CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position.   1. Performs clerical duties related to patient care, including:

  2. Enters pending final discharge into SMS (INVISION) system

  3. Identifies patient records accurately with patient label
  4. Reduces bulky charts as necessary; maintains storage of partial medical record until patient is discharged
  5. Assembles packets for diagnostic studies, admissions and surgical procedures
  6. Retrieves old medical records when directed
  7. Maintains housekeeping list of discharges and transfers
  8. Prepares alert band for patient allergies
  9. Prepare all medical records on discharge
  10. Organizes and fills medical record as needed
  11. Fax discharge instructions to the patient's primary care physician after discharge
  12. Prepare IDT document
  13. Notify monitor tech when a patient leaves the unit for a test/ procedure

  14. Assists the physician including:

  15. Provide appropriate medical record to physicians

  16. Notifies nurses of physician's presence on department
  17. Complete the necessary requisitions and forms.
  18. Forwards requisition forms to appropriate departments
  19. Schedules diagnostic studies as ordered
  20. Schedules surgery as ordered
  21. Signs orders with full name and time when completed.
  22. Provides charge nurse with orders to approve and sign.
  23. Accepts written orders only from physician; does not accept verbal orders.
  24. Notify physician's offices regarding consults
  25. Provide assistance and providing resources regarding EMS (electronic medical record)

  26. Prepares the medical record by the following:

  27. Transcribes physician's orders from medical record to Kardex and/or medicine sheets (Skilled unit)

  28. Schedules diagnostic studies
  29. Schedules surgery
  30. Signs orders with full name and time when completed
  31. Provides charge nurse with orders to approve and sign
  32. Accepts written orders only from physician; does not accept verbal orders
  33. Completes ordered daily lab work (Skilled Unit)
  34. Notifies appropriate staff of STAT orders

  35. Prepares all reports, records, and permits as directed by the registered nurse, including:

  36. Places lab, X-Ray and other reports on patient's medical record after the reports are checked by the registered nurse

  37. Completes specific unit forms
  38. Prepares permits for nurse to complete

  39. Performs SMS (INVISION) functions: i.e. order entry, cancel, discontinues, discharge, consults, work requests, etc.

  40. Acts as receptionist for the nursing unit including:

  41. Greet visitors, make eye contact and walk them to the patient's room

  42. Records and relays messages accurately to unit personnel
  43. Answers telephone and responds to the intercom; keeps telephone lines open for incoming calls.
  44. Answer telephone within 3 rings, state your name, location and ask how may I help you. Do not leave caller on hold longer than 1 minute- check with them if they would like to leave a message or continue to hold
  45. Places calls as directed by nurses and physicians
  46. Answers physician's pages when required
  47. Answers general inquiries from visitors, patients, volunteers and hospital personnel
  48. Answer call lights and notify appropriate staff
  49. Checks incoming mail and distributes
  50. Update white boards in patient's rooms

  51. Attends in-services and other educational programs as required.

  52. Attends and participates in staff meetings.

  53. Determines areas of self-improvement; writes developmental goals on performance appraisal.

  54. Performs clerical duties related to departmental operations including:

  55. Maintains stock of clerical supplies

  56. Enters CPD and Pharmacy charges, (ED only- completes charging in ED apps)
  57. Enters maintenance work orders
  58. Maintains departmental inventory; enters orders for needed items from storeroom
  59. Assign beepers, complete assignments in the call system, assign/ update attributes as well as preparing the daily assignment sheet for the charge nurse to complete daily assignments
  60. Maintain an organized/ clean nursing area
  61. Clean refrigerator on an as need basis

  62. Participates actively in the quality improvement program.

  63. Collect data for quality audits as directed by the director

  64. Collect data for quality logs as directed by the director
  65. Collect data for environmental rounds

  1. Basic computer knowledge and ability to operate standard office equipment.

  2. Knowledge of medical terminology.

  3. Proficient in Microsoft Office.
