The Events and Brand Activation Coordinator is responsible for planning, organizing, and executing events that build brand awareness, engage local communities, support referral relationships, and generate qualified leads for consultations and starts. This role ensures strong clinic-level representation at community events, sponsorships, grand openings, CE programs, school engagements, wellness fairs, and partnership activations.
The ideal candidate is organized, creative, people-oriented, and skilled in coordinating logistics, branding, sponsorships, vendors, and on-site engagement. They will work closely with Marketing, Community Outreach, and Dental Relations teams to deliver memorable, high-impact events that represent our orthodontic brand with professionalism and energy.
Job Responsibilities And Tasks
Event Planning & Execution
- Plan and coordinate public and professional events, including but not limited to:
- Grand openings & ribbon cuttings
- Community festivals, health fairs, parades
- School programs working closely with sponsoring PTO events
- CE (Continuing Education) events for dental professionals
- Referral appreciation or patient celebration events
- All company events
- Hygiene Events
- Coronal Polishing
- CPR
- Coordinate logistics: venue, vendor contracts, permits, signage, staff scheduling, branded materials, giveaways, tents, photo backdrops, QR lead capture and digital forms.
Brand Activation & Local Presence
- Ensure strong brand presentation at every event — signage, banners, materials, staff uniforms, and messaging.
- Set up and manage branded booths, lead capture stations, prize wheels, photo walls, digital sign-ups, and educational displays.
- Partner with Marketing on event promotions (flyers, social announcements, local news mentions, Live streams, media coverage).
- Capture photo and video content for post-event marketing, social media, and storytelling.
- Create, monitor and update separate section on the website for Events
Lead Capture & Event ROI Tracking
- Set up QR codes, lead forms, CRM event tags, and digital data capture tools at every event.
- Work with Call Center & Marketing to ensure all leads are followed up on professionally.
- Track lead volume, referral quality, event engagement, and event-to-start conversion results.
- Maintain event performance reports and ROI calculations.
- Other tasks as assigned
Requirements
- Associate's or Bachelor's Degree in Marketing, Event Management, Communications or related field.
- 1–3 years of event coordination, community marketing, or healthcare outreach experience.
- Experience in dental/medical setting or local community marketing preferred.
- Ability to travel across locations and attend weekend/evening events as needed.
- Strong communication & presentation skills
- Basic marketing and branding knowledge
- Vendor & sponsor management
- Data tracking and lead management (CRM knowledge preferred)
- Organized, deadline-driven, and budget-conscious
- Outgoing, personable, and professional brand ambassador
Working Hours/ Location:
- Location: 1700 W Higgins Rd Des Plaines, IL 60018
- Hours: 8:30 AM to 5:00 PM
