Overview:

A dynamic household in New York City is seeking a proactive and resourceful
Personal Assistant
to support the Estate Manager and Principals. This is a role that provides seamless management of personal, household and lifestyle needs, requiring flexibility, discretion, and the ability to be resourceful. The ideal candidate is discrete, hands-on, extremely organized, and thrives in a dynamic environment so they can facilitate complex schedules, travel arrangements and confidential matters for the household.

Key Responsibilities:

  • Coordinate family calendars, appointments, social engagements, and travel itineraries. Anticipate conflicts and manage last-minute changes seamlessly.
  • Arrange domestic and international travel, including private flights, accommodations, ground transportation, and special requests. Ensure alignment with family commitments and preferences.
  • Liaise with household staff to ensure smooth operations across multiple residences.
  • Meet vendors and oversee walk-throughs to ensure quality and timely completion of work
  • Handle daily errands including shopping, returns, deliveries, and package management
  • Act as right hand to the Estate Manager, assisting with household operations and special projects
  • Provide support with events, including coordinating with catering companies, vendors, and assisting with setup and breakdown as needed
  • Perform administrative duties such as tracking expenses, budgeting and ensure household manuals are up to date and accurate
  • Flexibility for after-hours needs and emergencies

Qualifications:

  • 5+ years of experience working as a Personal Assistant for high net worth or other family offices
  • Proactive- anticipating needs before they arise
  • Strong organizational skills with exceptional attention to detail
  • Hands-on approach
  • Strong communication and interpersonal skills with the ability to work well with vendors, staff, and Principals
  • Tech-savvy with working knowledge of common apps, scheduling tools, and expense tracking software
  • Flexible and adaptable with a service-oriented mindset; must always maintain confidentiality

Compensation
: $120,000 – $130,000 per year, plus fully paid benefits

Schedule
: Monday–Friday, 10:00 AM – 6:00 PM, with flexibility for evenings, weekends, and on-call emergencies
