Job Description:

The Project Coordinator will coordinate and facilitate the intake, prioritization, resource tracking and reporting processes for projects supported by the Facilities Planning, Redevelopment & Project Management Office. The Project Coordinator will provide oversight and support for the Corporate Resource Planning Committee (CPRC) including but not limited to preparing reports for dissemination to leadership and project executives in collaboration with the Project Management Team. In addition, the incumbent will support the implementation and maintenance of initiatives related to the organization's Project Management System, and will liaise with all levels within the organization, as well as external stakeholders, as it relates to the work of the Facilities Planning, Redevelopment & Project Management Office. 

Responsibilities:

  • Coordinate the day-to-day operations of the Facilities Planning, Redevelopment & Project Management Office including maintenance of all program documents and drafting reports as they relate to the execution of the program.

  • Support the program in the facilitation of project planning processes, including the development and maintenance of processes and tools for project management; facilitating prioritization/selection of objectives through analysis and synthesis of ideas/concepts; developing frameworks, models and implementation plans; and tracking/reporting on status and progress.

  • Draft presentations with ability to deliver presentations if required.

  • Support team to present and use Project Management Tools.

  • Responsible for supporting governance, methodologies, and oversight for projects across the organization

  • Oversee project management frameworks and templates.

  • Support, plan, coordinate and promote the organization's formal project intake, prioritization, resourcing, tracking, and reporting process and governance including project plans, timeframes, schedules, budgets and communication materials.

  • Plan meetings and logistics.

  • Support collaboration such as file sharing, document/template management/updates.

  • Maintain and monitor project management dashboard. Tracks metrics, schedules reviews, maintains tools, and keeps documentation up to date.

  • Monitor and track intake progress and addresses issues that arise appropriately.

  • Ability to analyze situations and data to inform decision-making and identify solutions.

  • Collaborate with project managers and stakeholders to communicate and educate the organization on the initiative intake process and project management processes.

  • Establish and maintain positive working relationships with internal and external stakeholders including governance bodies, senior leadership, physicians, staff, learners, volunteers, contractors/vendors.

  • Support basic program operational functions as requested

 Requirements:

  • Bachelor's Degree in Health, Business Administration, Management or related field

  • Project Management Professional (PMP) Certificate or Certified Associate in Project Management (preferred)

  • 3-5 years proven experience in project management or coordination roles

  • Excellent verbal and written communication skills are essential for effective coordination
