Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems efficiently, directing calls accurately and professionally.
- Handle incoming correspondence, emails, and inquiries with clarity and courtesy.
- Maintain a clean and organized front desk area, ensuring all supplies are stocked and accessible.
- Perform data entry tasks using computer skills, including updating databases and maintaining records.
- Support office management activities such as filing, proofreading documents, and managing calendars.
- Assist with appointment scheduling, calendar management, and reminder notifications for staff or clients.
- Utilize software tools like Microsoft Office, Google Workspace, QuickBooks (if applicable), and other office applications to streamline daily operations.
- Provide customer support by addressing inquiries promptly and escalating issues when necessary.
- Manage clerical tasks such as filing, photocopying, scanning documents, and maintaining organized records.
- Demonstrate excellent phone etiquette while handling inquiries via phone or email with professionalism.
- Support bookkeeping or basic financial record-keeping when required using QuickBooks or similar tools.
- Assist with special projects or administrative duties as assigned to ensure smooth office operations.
Experience
Candidates should bring prior experience in office administration or reception roles, ideally within healthcare (such as dental or medical reception) or professional services environments. Bilingual abilities are highly valued to serve diverse client needs effectively. Proven proficiency in computer literacy—including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), data entry, proofreading, and file management—is essential. Experience with multi-line phone systems, calendar management tools, bookkeeping software like QuickBooks, and familiarity with office management best practices will set you apart. Ideal candidates will have demonstrated strong organizational skills, time management abilities, attention to detail in clerical tasks such as proofreading and filing, and excellent customer service skills that foster positive interactions. Previous roles as a personal assistant or medical/dental receptionist will provide valuable insight into managing busy front desks efficiently while maintaining a friendly demeanor.
