Job Summary:

Reporting to the Director of K12 Education, the Program Manager (PM) is responsible for the successful implementation, daily oversight, and continuous improvement of Middle Tree's educational programs across partner-school campuses and community sites. This role ensures program quality, operational efficiency, student safety, and strong partner satisfaction.

The PM oversees day-to-day site operations, supervises program staff, collaborates with school administrators and internal departments, manages compliance with program requirements and funding expectations, and contributes to the overall mission and impact of Middle Tree.

This position requires a dynamic leader with strong organizational and communication skills, a passion for student success, and the ability to manage multiple priorities in a fast-paced environment.

Essential Functions

Program Management & Execution:

  • Oversee day-to-day operations of Middle Tree programs, ensuring seamless execution and adherence to timelines.
  • Serve as the primary point of contact for programmatic needs at assigned sites.
  • Oversee partnership and program checklists to ensure readiness prior to program launch.
  • Monitor program activities, participation levels, student experience, and milestones to support continuous improvement.
  • Implement Middle Tree program design, curriculum, lessons, and activities that support academic and enrichment goals.
  • Ensure program quality by training, coaching, and supporting staff in instructional practices, routines, procedures, and engagement strategies.
  • Maintain high standards for student experience, including behavior, engagement, and safety.
  • Conduct regular site visits to ensure proper execution of programs and document observations.

Student Safety & Compliance:

  • Ensure a safe and healthy environment for students and staff, implementing all safety guidelines and school safety plans.
  • Report all incidents in accordance with Middle Tree and district policies.
  • Ensure compliance with all program model requirements, funding stipulations, and partner-district agreements.
  • Oversee accuracy and confidentiality of attendance, enrollment, student records, and required reporting.
  • Ensure programs meet Average Daily Attendance (ADA) targets and follow established attendance/data protocols.

Staff Supervision & Leadership:

  • Supervise, train, coach, and support all on-site program staff and volunteers.
  • Interview, recommend, discipline, and/or terminate staff as needed, following HR protocols.
  • Foster a positive team environment rooted in collaboration, communication, and continuous improvement.
  • Ensure staff receive materials, supplies, schedules, and printed lessons for successful implementation.
  • Provide ongoing coaching and feedback to support strong instructional and enrichment practices.

Employee Relations & Conflict Resolution:

  • Promote a supportive work environment with open communication and positive team culture.
  • Apply conflict resolution strategies to address interpersonal issues within program teams.
  • Coordinate with HR to ensure staff follow appropriate conflict-resolution protocols.

Collaboration & Partner Communication:

  • Serve as the liaison between Middle Tree, school administrators, faculty, parents, donors, and other stakeholders.
  • Maintain strong partnerships through regular communication, updates, and participation in school meetings.
  • Align afterschool programming with school-day expectations and academic goals.
  • Provide excellent customer service to all internal and external stakeholders.

Inventory, Budget, & Operations Management:

  • Implement inventory management processes to ensure adequate materials and resources at each site.
  • Track inventory usage and coordinate procurement as needed.
  • Communicate inventory needs and expenses with Finance, Accounting, and Operations to ensure budgets are maintained.
  • Manage site-level budgets and ensure accurate timecard approval for all direct reports.
  • Maintain accurate and timely records and documentation across all operational areas.

Program Evaluation & Reporting:

  • Implement assessments and evaluations for student progress and program improvement.
  • Monitor quality of activities, student engagement, and staff performance to ensure program excellence.
  • Meet deadlines, performance metrics, and deliverables required for program success.

Qualifications

Required:

  • Previous classroom or youth program experience.
  • Some college coursework required; bachelor's degree in education, nonprofit management, communications, or related field preferred.
  • Strong program management and operations experience, ideally in the nonprofit or education sector.
  • Excellent communication, leadership, and interpersonal skills.
  • Strong organizational, time management, and project management abilities.
  • Ability to work collaboratively with staff, partners, and community stakeholders.
  • Ability to manage multiple tasks and adapt to varying schedules including before school, after school, non-instructional days, and occasional weekends.
  • Ability to maintain confidentiality and professionalism.
  • CPR/First Aid certification (or ability to obtain within 60 days).
  • TB clearance and passing a DOJ/FBI background check.

Preferred:

  • Bilingual/Bicultural (Spanish).
  • Experience supervising staff in educational or youth-development settings.
  • Proficient in budget management and financial reporting.
  • Knowledge of best practices in monitoring, evaluation, and continuous improvement.
  • Comfortable with public speaking and providing training or coaching.
  • Ability to solve practical problems and interpret various instructions (written, oral, or diagram).

Job Type: Full-time

Pay: $68, $75,000.00 per year
