Location: Universal City, CA

Supervisor: Founder

Overview:

This high-visibility position supports our Founder. You'll serve as the connective tissue

for the founder across the company—managing calendars, coordinating travel, and

facilitating smooth communication across the organization. You'll represent the Founder

and company with sharp taste, sound judgment, and discretion in high-stakes settings.

The role requires calm under pressure and the ability to anticipate needs before they're

expressed. You'll gain direct exposure to how deals happen and how trends and culture

forms at the intersection of production and entertainment.

● Translates Founder's goals into actionable weekly plans—tracks progress,

identifies obstacles, and adjusts priorities as needed.

● Protects executive focus by anticipating conflicts, scheduling prep time, and

structuring days for maximum impact.

● Balances tactical scheduling with strategic judgment—knowing when to accept,

decline, or defer.

Essential Responsibilities and Duties (including but not limited to):

● Administrative needs including scheduling, managing calendars and

correspondence, while maintaining confidentiality

● Arrange travel (commercial and charter), including transportation, hotel and any

special needs in the US / international

● Serve as gatekeeper with calls, emails and founder travel arrangements

● Manage software tools and solutions to improve efficiency

● Prioritize and manage multiple projects simultaneously and follow through on

issues in a timely manner

● Ordering supplies, including gifts and needs of Founder

● Complete monthly expense reports

● Gather, enter and/or update data in records and databases

● Establish and maintain files and records of the executive

Qualifications

● 5+ years of experience providing C Level executive-level support

● Detail Oriented: Must possess and maintain the sharp philosophy of "Double

Check, Triple Check" with any and all tasks

● Work Ethic: punctual, flexible attitude, honest, team player, up-down

communicator, loyal

● Attitude: "anything & everything is possible" attitude, positive thinker, forward

thinker, "don't take no for an answer" philosophy, strong-will mentality, motivation

to succeed

● Computer Skills: must be proficient with Mac & programs consisting of the

following: Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft

Outlook. Also, sharp knowledge of the web and being able to complete research

& navigate quickly.

● Excellent written and verbal communication skills

● Coordinate executive communications, including taking calls, responding to

emails and interfacing with clients

● Prepare internal and external corporate documents for team members and

industry partners

● Schedule meetings and appointments and manage travel itineraries

● Arrange corporate events to take place outside of the workplace, such as golf

tournaments, fund-raising events, and staff appreciation events

● Maintain an organized filing system of paper and electronic documents

● Uphold a strict level of confidentiality

● Develop and sustain a level of professionalism among staff and clientele

● Ability to identify and anticipate needs, while staying on top of priorities

● Good organization and time management skills

● Flexibility and adaptability to juggle a range of different tasks

● Discretion and an understanding of confidentiality

● Proficient in technology, Word & Excel, email programs

● Must be competent in problem solving issues related to mobile devices, Mac

computers, iPhone / Mac devices, and additional devices

You must:

● Must have the mindset that no task is too big or too small

● Operate with the utmost in discretion and confidentiality

● Possess a high level of maturity, courtesy, patience, and self-confidence

● Be able to answer emails on weekends and evenings

● Brings flexibility and a collaborative attitude to the role, along with initiative,

attention to detail, and strong communication skills.

Physical Demands / Work Environment

● Must be able to work in a seated position for long periods of time.

● Must be able to use fingers, hands, and arms at a computer keyboard for

extended durations.

● Must have the ability to speak clearly and distinctly, and to hear, be heard, and

understood both in person and via telephone.

● Must be able to reach, bend, stoop, and frequently lift up to 35 pounds.

● Must be able to work in a standing and/or walking position for extended periods.

● Must be able to travel by car and airplane as needed.

Additional Duties:

● As assigned by the Company based on business needs, including but not limited

to duties related to different Company projects.

● Additional Duties to support Growth (essential duty workload permitting)

Work Model

We follow a hybrid work model with 3 days in-office and remote 2-days. So, you'll need

to be local.
