ADMISSIONS COORINATOR
Purpose of Your Position:
The purpose of this position is to coordinate and oversee all functions of the admissions process for the facility including all hospitals, doctor's offices, nursing homes, and other related business ensuring compliance with Federal and State requirements.
Scope of Responsibility:
As the Admissions Director, you are responsible and accountable for carrying out your
assigned duties and report directly to the Administrator and CDRCM.
Job Functions:

Working Conditions:
Works in office areas as well as throughout the facility.
Sits, stands, beds, lifts and moves intermittently during work hours.
Is subject to frequent interruptions.
Is involved with Residents, personnel, visitors, government agencies/personnel, etc.,
under all conditions and circumstances.
Is subject to hostile and emotionally upset Residents, family members, etc.
Communicate with the medical staff, nursing services and other department heads.
Works beyond normal working hours, on weekend, holidays, when necessary, and in
other positions temporarily, when necessary. Scheduled hours may change to meet the
needs of the facility.
Attends and participates in continuing educational programs and Compliance & Ethics
Program.
Maintains a liaison with other department heads to adequately plan for facility admissions
or discharges.
Educational Requirements:
Must have a high school diploma or equivalent
Experience:
A minimum of one (1) year experience in a supervisor capacity in a hospital, skilled nursing care facility or other related medical facility is preferred.
Specific Requirements:
Review and certify completion of Admissions documentation.
Coordinate all functions of the Admissions process.
Participate and/or conduct interdisciplinary meetings.
Must be able to read, write, speak and understand the English language.
Must possess the ability to make independent decisions when circumstances warrant such action.
Must possess the ability to deal tactfully with personnel, residents, family members, visitors and the public.
Must be knowledgeable on nursing/admissions practices and procedures as well as the laws, regulations and guidelines governing admissions functions in the long-term care facility.
Must possess leadership ability and willingness to work harmoniously with and supervise professional and nonprofessional personnel.
Must have the ability to plan, organize, develop, implement and interpret the programs,
goals, objectives, policies, procedures, etc.,
Must have patience, tact, cheerful disposition and enthusiasm, as well as the willingness
to handle difficult residents.
Must be willing to seek out new methods and principles and be willing to incorporate them
into existing policies and procedures.
Must be able to relate information concerning a condition.
Must participate in continuing education, Compliance & Ethics, and Inservice training
Must be able to communicate effectively to appropriate personnel regarding emergency situations
Physical and Sensory Requirements:
Must be able to move intermittently throughout the workday.
Must be able to speak and write the English language in an understandable manner.
Must be able to cope with the mental and emotional stress of the position.
Must be able to see and hear or use prosthetics that will enable these senses function
adequately to assure that the requirements of this position can be fully met.
Must function independently, and have flexibility, personal integrity and the ability to work
effectively with residents, personnel and support agencies.
Must be in good general health.
Must be able to push, pull and do heavy lifting without restriction.
Must be able to assist facility leadership in emergency situations.
Must be able to relate to work with the well, disabled, elderly, emotionally upset and at times
hostile people within the facility.
Major Duties and Responsibilities:
Schedule/Oversee/Manage and supervise admissions staff
Oversee the inquiry process.
Handle inquiry calls from hospitals, families, etc., and schedule appointments that include
presentations, tours, and closings.
Maintain updated information on bed availability and facility services.
Make sales calls outside the facility to medical, insurance, legal, and financial.
professionals, senior organizations, special interest groups, hospital discharge planners,
and other community contacts.
Compile and distribute admission paperwork.
Ensure all paperwork is properly completed and input into the system.
Order facility materials such as brochures.
Maintain a working knowledge of federal and state regulations and reimbursement.
Help expedite the admissions process for emergencies.
Build and maintain relationships with hospital accounts.
Perform sales and marketing campaigns.
Maintain knowledge of Medicare and Medicaid regulations.
Keep model rooms ready for tours.
Report all inquiries, admissions, and discharges.
Work with nursing and housekeeping staff to stay informed about bed availability.
Inform housekeeping staff of empty rooms and coordinate cleaning.
Maintain relationships with legal and financial professionals, senior organizations, assisted living and senior housing facilities, special interest groups, churches, and other community contacts.
Participate in meetings to inform appropriate staff members of projected admissions, room changes, discharges, and appointments/tours.
Communicate the special needs of new admissions to staff to ensure a smooth transition.
Obtain insurance authorizations and update insurance case management weekly.
Attend Medicare meetings weekly.
Coordinate/oversee all functions of the Admissions process to assure compliance with Federal and State requirements.
Review reports, requests and inquiries of timely and take follow-up action as necessary.
Participate in the Quality Assessment and Assurance Program in cooperation with the Quality Assurance Coordinator.
Establish open lines of communication between all admissions personnel.
Perform all duties assigned in a cooperative, effective, timely and professional manner.
Observe, oversee and facilitate all facility policies and procedures.
Uphold the Milford Gardens' Customer service standard to residents, visitors and co-workers.
Report to site during state survey and remain on site until survey concludes.
Assist with All Hands On Deck matters at the facility or other sites where deemed necessary by Governing Body, VIP, DCO or other applicable authority.
Job Type: Full-time
Pay: $75, $90,000.00 per year
