MAIN PURPOSE:

The Executive Assistant will oversee the President's adhoc direct report's day-to-day business activities while spearheading select special projects. This role will build collaborative relationships with internal and external groups, including Global HQ teams. Manage various projects and business activities to enhance productivity and well-being of the North America team

This position will report to the President, Americas and will be based in New York.

KEY RESPONSIBILITIES:

  • Manage day-to-day sensitive and confidential business activities
  • Demonstrate the ability to handle confidential and highly sensitive proprietary information with discretion
  • Prioritize and execute travel arrangements to best facilitate effective use of Managing Director's time (both Domestic and International)
  • Schedule meetings and maintain daily and long-term calendar in a manner that provides the most effective use of the President's time and prioritizes business needs; regularly liaising with Global Head office for meetings with CEO and top management
  • Oversee office standards and organization of floor.
  • Coordinate and prepare Budget/ Business Reviews and Senior executive meetings (Global CEO, CFO, Managing Director, etc.) and prepare confidential and sensitive materials;
  • Responsible for budget and expense management, holiday gifting, and brand specific office events in accordance with company T&E policies
  • Manage all logistics for meetings led by President and/or team members, visits from global HQ, including organizing agendas, booking meeting rooms, preparing written material and travel.
  • Create and implement processes and procedures to achieve high-level efficiencies across the team including comprehensive filing and organizational system
  • Develop relationships with internal administrative staff to best facilitate meeting planning and scheduling
  • Prepare Travel & Expense reports, reconcile corporate card expenses and uphold company T&E policies
  • Ensure deadlines are met, questions are answered, and requests are addressed
  • Miscellaneous Projects as assigned
Job responsibilities

QUALIFICATIONS:

The ideal candidate for this role will possess the following skills and expertise:

  • 5 years of Executive Assistant or relevant work experience
  • Advanced skills in Microsoft Outlook, Word, Excel, PowerPoint and Concur
  • Highly organized, self-starter with ability to handle multiple priorities at once
  • Strong verbal and written communication skills
  • Superior judgement, professionalism, poise, ability to maintain the highest level or confidentiality, and assertiveness
  • Team oriented. Desire to support executive team in creating a collaborative environment.

The compensation for this position ranges from $90,000-105,000 annually. The rate of pay offered will be dependent upon candidate's relevant skills and experience. In addition, there is a comprehensive benefits package including: medical, dental, vision, short and long-term disability, various paid time off programs, employee discount/perks, and a retirement plan with employer contribution.
