Specialty Moves by Design is a women-owned and family-operated Move-Management company with 16 years of trusted service in the Lehigh Valley. We are looking for a part-time Administrative Assistant (~25 hours/week) to support our front office and day-to-day administrative operations. This role is ideal for someone who is highly organized, friendly, and enjoys working in a service-oriented environment.
Job Overview
The Administrative Assistant serves as the first point of contact for clients, community partners, and walk-ins, and provides critical support to Operations and Leadership. Responsibilities include new client intake, scheduling appointments, maintaining files, supporting internal communication, and assisting with marketing and event logistics. The ideal candidate is proactive, detail-oriented, and comfortable self-managing and juggling multiple tasks with a warm, professional approach.
Key Responsibilities
- Respond to phone, email, and walk-in inquiries and enter new client information into the CRM
- Schedule Initial Consultations and other appointments and complete lead follow-ups
- Support clients by addressing basic questions and routing concerns to appropriate staff
- Maintain client and office files, check mail, handle deliveries, and assist with ordering supplies
- Record incoming checks and bills, monitor open invoices, and send daily check summaries to Operations/Bookkeeping
- Assist with preparing materials and coordinating details for talks, marketing events, and community activities
- Keep company contact lists, vendor lists, and email marketing lists up to date; assist with event registrations and RSVPs
- Provide general administrative and operational support as needed.
What we're looking for:
- Prior office, administrative, or customer-service experience
- Experience with scheduling, event coordination, or client intake is preferred
- CRM familiarity helpful (we provide training on our specific programs)
- Excellent verbal and written communication skills
- Strong organizational skills and high attention to detail
- Ability to juggle multiple tasks in a fast-moving environment
- Friendly, professional, and service-oriented demeanor, and genuine respect and care for others (especially older adults)
- Proficient with email platforms, calendars, and basic office software
- Comfortable learning new systems and processes
- Discretion and sound judgment with sensitive information
Pay and schedule:
- In-person, at our beautiful Wescosville office (Hamilton Blvd)
- ~25 hr/week, exact schedule to be determined with YOUR input during hiring process
- Weekday, daytime - no nights, weekends, or holidays
- Pay range starts at $19/hr
