Overview:
We are seeking a dynamic and detail-oriented Office Manager to join our team at Brindlee Fire Services in Huntsville, Alabama. This is a full-time, on-site position that is twofold: it involves executive administrative assistance and managing the day-to-day operations of our office facilities. This individual will serve as the primary hospitality contact, creating a warm, welcoming environment for all visitors. Success in this position will require the ability to operate independently, demonstrate critical thinking, and take initiative to identify and solve problems independently.
Key Responsibilities:
- Facilities Management: Oversee the maintenance and upkeep of the office. This includes keeping office and kitchen supplies stocked, coordinating and cleaning up catering for team events, coordinating with external vendors, and overall facility improvements. You'll play a key role in ensuring the office operates smoothly and aligns aesthetically with our brand and vision.
- First Impressions and Hospitality: Serve as the first point of contact for guests, ensuring a warm and professional experience. This includes managing visitor logistics, coordinating meeting spaces, handling hospitality needs, and ensuring all interactions reflect Brindlee Fire Services' culture of "loving our neighbors" well.
- Administrative and Executive Support: Assist with tasks including calendar management, travel coordination, and expense report processing. Other executive assistant-level tasks could be requested and coordinated as capacity allows.
Qualifications:
We're looking for someone who aligns with our values of always doing the right thing, delivering uncommon hospitality, and creating a "customers for life" experience. Strong organizational skills, a friendly demeanor, and the ability to juggle multiple tasks are a must. Experience in facilities management and executive support is preferred.
