We are currently seeking a Property Administrator to join our rapidly growing real estate investment and management team. This candidate will work out of our Dallas, Texas location. The ideal candidate will be high energy and able to adapt in a fast paced, dynamic work environment. The candidate should be able to work well in a team setting but will also be able to work independently, be self-motivated and take initiative when required.
Qualifications:
· A minimum of two years of advanced education at an accredited university or technical school.
· A minimum of three years' experience working at an administrative assistant level or above.
· Excellent organizational and administrative skills.
· Excellent Microsoft Office and general computer skills.
· Excellent communication skills.
· Excellent attention to detail.
· Excellent multi-tasker.
Job Summary:
The Property Administrator supports the administrative needs for our Dallas Texas portfolio. Working with the on-site property management team, and other departments, the Property Administrator is responsible for all activities required to successfully support the team and its goals. Responsibilities to include, but not be limited to the following:
Provide administrative support for the property management team. Create, edit, and proofread property management documents
Maintain electronic and paper filing of documents within the filing system
Filing of incoming and outgoing correspondence, documents, emails and memorandums to the paper and electronic file structure
Manage US Mail and email
Prepare correspondence via dictation both in person and via telephone
Schedule meetings and conference calls when required
Assist in preparing Property Management documents (that which require a signature
of Morning Calm Management, the project company, a tenant or vendor/contractor) including but not limited to Vendor Contracts, General Contractor Contracts, Architectural Firm Contracts and Final Lien WaiversAssist in completing daily, weekly and monthly tasks of Property Management Team
Manage building service request system to ensure timely completion of any work orders submitted by tenants, Property Management team and/or entering of work orders on behalf of said parties
Collection and processing of vendor invoices
Issuance of tenant rent invoices
Following up with tenants on aged receivables issues
As needed, assist in the coordination, scheduling and follow up of preventative maintenance programs, inspections and service calls placed to outside vendors
Updating of portfolio information
Assist with annual and capital budgets
Collection of both tenant and vendor certificates of insurance (COI). Ensure COI's meet specific requirements
Assist in general office duties
Perform other duties as assigned
