The Offsite Program Manager supports Halifax Humane Society's community relations and lifesaving efforts by coordinating adoption and engagement events, with a primary focus on the PetSmart Charities Adoption Program. This role is responsible for maintaining animal inventory and flow, articulating staff and volunteer needs, and executing all off-site adoption events that collectively facilitate a minimum of 500 pet adoptions in the PetSmart International Speedway Store, with additional adoptions occurring at Pet Supermarket Stores, the DeLand Cat Café, as well as multiple sponsored events throughout the community year-round.

The ideal candidate is energetic, organized, customer-focused, and passionate about animal welfare, with the ability to manage multiple moving parts in a fast-paced, public-facing environment.

Key Responsibilities

Adoption Coordination

  • Complete adoptions at Halifax Humane Society events and other offsite adoption opportunities.
  • Coordinate the selection, preparation, and transport of animals for events in collaboration with medical, behavior, customer service, and foster teams.
  • Ensure all adoption paperwork is accurate and complete.
  • Record adoption outcomes and related data in the PetPoint database.

Volunteer Coordination

  • Direct and support volunteers during events, including animal pick-up, loading, adoption facilitation, and return procedures.
  • Provide clear instructions and oversight to ensure smooth, safe, and positive event experiences.

Event Planning, Promotion, and Reporting

  • Coordinate event logistics with host locations, volunteers, and internal teams.
  • Oversee the inventory, preparation, and transport of all essential event supplies, including crates, kennels, tables, necessary paperwork (applications, contracts), and promotional materials.
  • Track and report donations, expenses, and event-related metrics.
  • Create post-event recaps and reports for staff, volunteers, and board members.

Community Representation

  • Serve as a professional and knowledgeable representative of Halifax Humane Society at HHS events, PetSmart locations, and other community outreach activities.
  • Engage positively with adopters, donors, volunteers, and community partners to promote animal welfare and responsible pet ownership.

General Support

  • Attend internal meetings as needed.
  • Assist with special projects and other duties as assigned in support of the Lifesaving Department.

  • Previous customer service experience required.
  • Anticipates potential challenges and develops strategic solutions to mitigate risk and drive outcomes
  • Ability to work weekends required.

Mental Demands Must have the ability to multi task, prioritize and handle high levels of stress. Position requires excellent organizational skills, as well as high level of accuracy and attention to detail. Must be dependable, have proven ability to meet deadlines and follow detailed instructions without need of constant support.
