About The Role
The Sustainment Administrative Assistant at Lockheed Martin reports directly to the Vice President of Sustainment Operations Management (SOM) and the F-35 Sustainment Integration Vice President. This pivotal role involves providing high-level administrative support to senior leadership, including managing schedules, calendars, and correspondence. The role requires excellent organizational skills, discretion, and the ability to handle sensitive information with confidentiality. The Administrative Assistant will coordinate meetings, prepare professional reports, and facilitate communication across various leadership teams, including executive staff and administrative personnel. Additionally, the role encompasses managing travel arrangements, expense reports, and credit card reconciliations, ensuring seamless logistical support for leadership activities. Flexibility to work at multiple locations, including the main plant and Beach St location, is essential. The position offers an opportunity to work in a fast-paced environment, supporting strategic initiatives and contributing to the overall efficiency of the organization.
Qualifications
- Proven experience supporting executive-level leadership, preferably at the director or vice president level
- Excellent organizational and time management skills
- Strong interpersonal and communication skills
- Ability to handle high-level sensitive and confidential information
- Proficiency in Microsoft Office Suite, especially MS Outlook, Word, Excel, and PowerPoint
- Experience coordinating meetings, preparing agendas, and managing logistics
- Ability to multi-task and prioritize in a dynamic environment
- Demonstrated problem-solving skills and attention to detail
- Experience with travel arrangements, expense reporting, and credit card reconciliation
- Strong follow-up and action closure skills
- Ability to maintain professionalism and composure under pressure
- Experience leading or supporting event planning and team engagement activities
- Willingness to work at multiple locations and adapt to changing schedules
Responsibilities
- Manage and maintain calendars, schedules, and appointments for senior leadership
- Coordinate and prepare materials for meetings, including agendas, presentations, and reports
- Handle correspondence, emails, and internal memos on behalf of leadership
- Arrange travel itineraries, accommodations, and transportation for executives
- Prepare and process expense reports and reconcile credit card statements
- Maintain confidentiality of sensitive information and data
- Support and guide other administrative staff within the organization
- Coordinate logistics for meetings, including attendee notifications and venue arrangements
- Gather information and compile comprehensive reports as needed
- Assist in planning and executing team engagement events and activities
- Ensure timely follow-up on action items and commitments
- Adapt to changing priorities and assist with special projects as required
