About The Role
The Administrative Coordinator at Switch plays a vital role in supporting the Construction Management team by providing comprehensive administrative services that facilitate efficient operations. This position involves managing a wide range of tasks including coordinating operational and planning activities, ensuring seamless communication between management and stakeholders, and preparing detailed reports.
The role requires handling administrative functions such as drafting correspondence, welcoming visitors, organizing conference calls, scheduling meetings, and managing travel arrangements and expense reports. The Administrative Coordinator will also assist in preparing presentation materials, maintaining files, and supporting special projects. This position offers an exciting opportunity to work in a fast-paced, innovative environment where your contributions directly impact the future of digital infrastructure and technology development.
Qualifications
- Proven experience in administrative or assistant roles
- Associates or Bachelor's degree preferred
- Excellent oral and written communication skills
- Strong organizational and prioritization abilities
- Proficiency in MS Office 365 (Word, Excel, PowerPoint, Outlook)
- Ability to handle confidential information with discretion
- Experience managing schedules and coordinating meetings
- Demonstrated ability to work independently and as part of a team
- Flexibility to work a varied schedule, including nights and weekends if required
- Willingness to travel as needed based on organizational requirements
- Strong problem-solving skills and resourcefulness
- Ability to influence and collaborate effectively with leadership and staff at all levels
Responsibilities
- Provide ongoing administrative support to the Construction Management team and management staff
- Manage and organize files, including compliance documents, agreements, and industry information
- Assist in preparing presentation materials, reports, and handouts for meetings and conferences
- Coordinate and schedule internal and external meetings, conference calls, and appointments
- Draft, review, and edit correspondence, memos, and reports ensuring clarity and professionalism
- Arrange travel itineraries and accommodations, and process travel expenses and expense reports
- Maintain schedules using Microsoft Outlook and ensure timely updates
- Order office supplies and manage inventory to support team needs
- Track and verify purchase requests, purchase orders, and change orders
- Support special projects and initiatives as assigned by management
- Assist with organizing seminars, conferences, and continuing education activities
- Contribute to a culture of innovation, collaboration, and continuous improvement within the organization
