Job Purpose
The Finance and Systems Administrator plays a key role in supporting the organisation’s financial management and operational systems. The postholder is responsible for ensuring that financial transactions are processed accurately, systems are maintained effectively, and data is reliable, secure, and accessible. The role combines hands-on finance administration with systems support, contributing to robust financial controls, efficient workflows, and informed decision-making across the organisation. Role and Responsibilities
Finance Administration and Financial Controls
Process all day-to-day financial transactions, including supplier invoices, staff expenses, purchase orders, sales invoices, and credit notes, ensuring accuracy and compliance with internal procedures Prepare payment runs, including BACS and other electronic payments, and maintain appropriate audit trails Maintain accurate and up-to-date financial records within the accounting system, including coding transactions to the correct cost centres and budgets Carry out regular reconciliations, including bank accounts, credit cards, petty cash, and control accounts Monitor outstanding debts and support credit control processes, liaising with internal teams and external customers as required Assist in the preparation of monthly management accounts by providing reconciliations, schedules, and supporting documentation Support year-end processes and external audits by preparing reports, evidence, and responding to audit queries Ensure compliance with financial regulations, internal policies, and best practice, highlighting discrepancies or risks to the Finance Manager
Systems Administration and Data Management
Act as the system administrator for finance and related business systems, ensuring they are configured correctly and used consistently Manage user access, permissions, and roles across systems, ensuring appropriate controls and data security Maintain data integrity through regular checks, validation, and cleansing of system data Provide first-line support to system users, diagnosing issues, resolving routine problems, and escalating complex matters when required Produce regular and ad hoc system reports to support financial monitoring, operational planning, and decision-making Support system upgrades, integrations, testing, and implementation of new modules or software, including user acceptance testing Document system processes, workflows, and user guidance to ensure continuity and knowledge sharing Work with internal teams and external suppliers to improve system functionality and efficiency
Reporting and Analysis
Prepare routine financial and system reports for managers, including budget monitoring, variance analysis, and performance summaries Assist in maintaining dashboards or tracking tools that provide insight into financial and operational performance Ensure reports are accurate, timely, and clearly presented for non-financial users Support data analysis projects and contribute to continuous improvement initiatives
Process Improvement and Compliance
Review existing finance and systems processes to identify opportunities for improvement, automation, or risk reduction Support the development and maintenance of financial procedures, systems documentation, and internal controls Ensure compliance with data protection legislation and information governance requirements Contribute to organisational policies related to finance, systems, and data management
General and Team Support
Provide administrative support to the finance team and wider organisation as required Act as a key point of contact for finance and systems-related queries Liaise professionally with internal stakeholders, suppliers, auditors, and system providers Support training of staff in finance procedures and system use Undertake other duties commensurate with the role as required
Other
To undertake all mandatory training as required for the role To ensure own training is kept up to date and all services provided adhere to required standards and quality systems To ensure staff areas are kept clean and tidy and in line with Health and Safety expectations To work flexibly to meet the needs of the service To work within other ISL services as required
Person specification
Education and Qualifications
GCSEs (or equivalent) including Maths and English A qualification or training in finance, accounting, business administration, or systems (or equivalent experience) AAT or part-qualified accountant status Formal training in systems administration or data management Knowledge, Skills and Experience
Experience in a finance or administrative role with financial responsibilities Experience using financial systems or accounting software Experience working with databases or business systems Experience handling confidential and sensitive information Strong numerical skills and attention to detail Good understanding of basic finance processes (e.g. invoicing, reconciliations, budgets) Confident IT skills, including Microsoft Excel and other MS Office applications Ability to learn and use new systems quickly Good organisational and time-management skills Clear written and verbal communication skills High level of accuracy and reliability Ability to work independently and as part of a team Proactive, methodical, and well organised Professional approach with a strong sense of confidentiality Experience working with ERP, CRM, or finance systems (e.g. Sage, Xero, QuickBooks, Oracle, SAP) Experience supporting system implementations or upgrades Experience in a regulated, public sector, or not-for-profit environment Advanced Excel skills (e.g. pivot tables, formulas) Experience producing financial or management reports Understanding of data protection and information governance principles Other Requirements
All ISL posts are subject to successful completion of 6-month probationary period. A full (manual) UK driving license and access to own vehicle is essential for this role, including driving trust/company vehicles.
