Position Overview
The Operations Assistant plays a critical support role within our sign company, working directly with the President to help keep daily operations running smoothly and efficiently. This position is ideal for a highly organized, dependable, and proactive individual who desires each day to feel different and is comfortable wearing many hats. Responsibilities include running errands, coordinating deliveries & shipments, managing schedules, communicating internally and with customers, handling office administrative tasks, and providing general office and operational support.
This role requires strong attention to detail, excellent communication skills, and the ability to prioritize tasks in a fast-paced environment.
Key Responsibilities
Operations & Logistics Support
- Run business-related errands as needed (local pickups, drop-offs, supplies, etc.)
- Coordinate and manage deliveries and shipments of signs, materials, and equipment
- Track delivery schedules and confirm receipt with vendors, installers, or clients
- Assist with inventory organization and basic tracking
Scheduling & Coordination
- Help manage and maintain the President's schedule
- Assist with scheduling installations, service calls, meetings, and deliveries
- Communicate scheduling updates with internal staff and external partners
- Follow up to ensure deadlines and commitments are met
Office Administration

- Review and approve Vendor payments
- Perform general office administrative tasks (filing, data entry, document organization)
- Answer phones, take messages, and route inquiries appropriately
- Assist with preparing paperwork, invoices, purchase orders, or job folders
- Maintain organized digital and physical records
Office & Team Support
- Support office staff and production team with day-to-day needs
- Order office supplies and keep the workspace organized
- Assist with special projects as assigned by the President
- Act as a reliable point of contact to help resolve minor issues before they escalate
Qualifications & Skills
- High school diploma or equivalent (associate degree a plus)
- Valid driver's license and reliable transportation (mileage reimbursement available)
- Clean driving record (may be added to company auto insurance)
- Strong organizational and time-management skills
- Ability to multitask and prioritize in a busy environment
- Excellent verbal and written communication skills
- Proficient with basic office software (email, calendars, spreadsheets, documents)
- Professional, trustworthy, and dependable
- Ability to work independently and take initiative
- Comfortable interacting with vendors, clients, and internal team members
Preferred Experience
- Previous experience in an administrative, operations, or assistant role
- Proven ability to multi-task without errors or crashing
- Experience in construction, manufacturing, or sign/printing industry is a plus (but not required)
Physical & Work Requirements
- Ability to lift light to moderate items (up to 25–40 lbs occasionally)
- Ability to operate basic warehouse equipment such as a pallet jack
- Ability to travel locally for errands and deliveries
- Primarily office-based with some time spent in the shop or on the road

Job Type: Full-time
Pay: $50, $60,000.00 per year
