Position Overview:
As we continue to grow, we are seeking a highly organized and detail-oriented Service Coordinator. This role is critical in supporting both our customers and internal team. The ideal candidate has excellent communication skills, strong coordination abilities, and experience in service operations. A background in mechanical or plumbing systems is highly preferred.
Key Responsibilities:
- Answer inbound customer calls and schedule service appointments.
- Make outbound calls to follow up with customers and schedule service work.
- Receive and route inbound calls to appropriate team members as needed.
- Coordinate and set up service calls in collaboration with the sales staff and customers.
- Set up new customer accounts accurately and efficiently in the system.
- Coordinate with service technicians and warehouse staff to prepare for scheduled jobs.
- Ensure parts, tools, and materials are available and staged for upcoming appointments.
- Monitor and respond to emails in a timely and professional manner.
- Learn and master the company's appointment and service coordination processes.
- Maintain a high standard of customer experience in every interaction.
- Communicate proactively with customers regarding technician arrival times.
- De-escalate and resolve customer issues as needed.
- Lead weekly service meetings with technicians and the sales team.
- Manage parts ordering and inventory tracking in collaboration with warehouse and purchasing teams.
- Audit completed service jobs for purchase orders, hours worked, and job details to prepare them for final approval and invoicing.
Qualifications:
- Minimum 5+ years of service coordination experience, preferably in mechanical, HVAC, plumbing, or construction environments.
- Proven background in project coordination or administrative roles, preferably within the HVAC industries.
- Excellent communication skills, both written and verbal, to effectively interact with internal teams, customers, and manufacturers.
- Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
- Proficient in using tools for scheduling and documentation (e.g., Computer, HubSpot, Microsoft Excel and Outlook).
- Detail-oriented with a commitment to accuracy in maintaining records and service documentation.
- Problem-solving skills to address unexpected challenges and maintain scheduled timelines.
- Capability to work well under pressure and adapt to changing priorities.
- Proficient in using tools for diagnostics.
License & Requirements:
- Valid Driver's License (Required)
- Must be able to commute to Tempe, AZ 85281
- Fluent in English
Job Type: Full-time
Pay: $52, $62,000.00 per year
