Job Summary
We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our MEP (Mechanical, Electrical, Plumbing) Home and Facility Services department. This role is vital in ensuring smooth office functions, managing vendor relationships, coordinating administrative tasks, and supporting team members. The ideal candidate will bring a proactive attitude, exceptional communication skills, and a passion for maintaining an efficient, professional work environment. Your leadership will help foster a productive atmosphere that drives service excellence and operational success.

Duties

  • Manage daily office operations, including front desk responsibilities, multi-line phone systems, and calendar management to ensure seamless communication and scheduling.
  • Oversee vendor management by coordinating service providers, scheduling maintenance appointments, and ensuring timely delivery of supplies and services.
  • Handle bookkeeping, payroll processing using QuickBooks, budgeting tasks, and basic human resources functions such as onboarding new employees and maintaining personnel records.
  • Organize and coordinate events related to office functions or client meetings to promote engagement and professional presentation.
  • Maintain accurate filing systems, manage documentation for facility management purposes.
  • Support office experience enhancements by implementing process improvements, managing clerical tasks, and ensuring excellent phone etiquette.

Qualifications

  • Proven supervising experience with strong team management skills in an office environment.
  • Demonstrated proficiency with QuickBooks for bookkeeping and payroll processing.
  • Excellent organizational skills with the ability to manage schedules efficiently and prioritize tasks effectively.
  • Experience in vendor management, contract negotiation, and maintaining professional relationships.
  • Background in human resources or medical office management is a plus.
  • Strong communication skills with the ability to handle front desk duties confidently and professionally.
  • Familiarity with office management software, multi-line phone systems, filing systems, and calendar management tools.
  • Previous clerical or administrative experience in a facility or home services setting preferred.
