Position Overview

We are seeking an experienced Administrative Assistant with a minimum of 5 years of experience, ideally within construction or a related industry. This role is critical to maintaining accurate documentation, supporting project teams and ensuring smooth day-to-day office and project operations. The ideal candidate is HIGHLY organized, detail-oriented and confident managing large volumes of documents across multiple active projects.

Key Responsibilities

  • Maintain and control all project documentation, including contracts, submittals, RFIs, change orders, and correspondence
  • Ensure documents are accurately logged, distributed, tracked, and archived in accordance with company and project requirements
  • Support Project Managers and executives with administrative and clerical tasks
  • Prepare, format, and proofread reports, letters, meeting minutes and internal/external communications
  • Coordinate document flow between clients, architects, engineers, subcontractors, and internal teams
  • Track deadlines, approvals and revisions to ensure timely compliance
  • Assist with meeting coordination, scheduling and follow-up documentation
  • Maintain organized digital and physical filing systems across multiple projects
  • Provide general office support including phone coverage, data entry and supply coordination as needed

Qualifications

  • 5+ years of experience as an Administrative Assistant or Document Control professional (construction industry strongly preferred)
  • Demonstrated strength in document control, file management and administrative systems
  • Exceptional attention to detail and organizational skills
  • Strong written and verbal communication abilities
  • Ability to manage multiple priorities in a fast-paced environment
  • PROFICIENT in Microsoft Office (Word, Excel, Outlook); STRONG excel experience with construction management platforms a plus
  • Professional, dependable, and proactive with the ability to work independently
